Position TitleIT Asset Management Supervisor

Job Description

The IT Asset Management Supervisor is responsible for overseeing the university's IT assets, including hardware, software, and service contracts. This role aims to minimize costs, ensure compliance with regulations and policies, and prevent service lapses. This includes planning, monitoring, and recording software license and/or hardware assets to ensure compliance with vendor contracts. The supervisor will work closely with various teams to optimize the IT asset portfolio and support the procurement process. Preferred candidate is a courteous and professional individual who is process-driven and detail-oriented.

Essential Functions (Responsibilities):Support ITAM Lifecycle Tracking

Identify and implement IT asset management (ITAM) initiatives to address compliance, process, and tool gaps. Analyze and design Hardware Asset Management and Software Asset Management processes, including software requests, license pooling/checks, deployment, and retirement.Lead efforts to create, analyze, track, and manage all IT assets from acquisition to decommissioning, considering inventory, contractual, and financial perspectives.Manage the lifecycle of all IT assets and establish model categorization standards.Enter and maintain information to address budgeting, software compliance & inventory, contracts, and cost. Assist in the development of reporting to address management requirements to obtain information.Champion policies and standards related to software asset management in conjunction with Procurement and IT Security.Partner with University stakeholders to catalogue University owned software funded inside and outside of IT.Evaluate licensing options (e.g., named vs. processor licensing, on-premise vs. cloud, owned vs. SaaS) and provide recommendations.Build and manage complex licensing models, optimizing license usage based on key drivers (e.g., headcount, volume).Manage software assets within the IT Asset Management (ITAM) lifecycle. Analyze large volumes of software entitlement and deployment data. Manage the maintenance of records and databases containing information regarding licenses, warranties, and service agreements for the organizations hardware and software assetsEnforce compliance with the university's asset management processes and policies.Create lifecycle and budgeting calendars for leadership review.Process purchase orders according to policy and within established service level agreements (SLAs).

IT Vendor Management

Maintain all IT vendor contracts and conduct periodic internal and external audits.Work proactively with vendors and accounting to resolve issues and handle special scenarios.Manage hardware and software contracts and vendor relationships to maximize value creation and costs for software licensing, maintenance, and service offerings and identify savings opportunities.Monitors contract renewal and expiration dates and communicates with impacted departments, in a timely manner.Reporting & Analytics

Develop and report on key performance indicators (KPIs) related to asset management.Document procedures, processes, and reports for asset and configuration management.Report on external spend with technology suppliers.Required Qualifications

Knowledge/Skill/AbilityRequired:

Skilled in asset management principles and processes.Experience working with a Configuration Management Database (CMDB) and supportingbusiness services.Understanding of software publishers' licensing models and deployment rights.Experience managing software license agreements and entitlements. Strong customer service, interpersonal, and communication skillsStrong attention-to-detail and follow-up skillsHighly motivated and motivating team player with the skills and abilities to manage changingpriorities. Proven ability in designing, delivering, and improving asset lifecycle management processesEquivalent Education/ExperienceRequired:

Bachelor's degree, preferably in Information Technology, Business Administration, Accounting, or commensurate experience in a similar roleProven track record of successful resource allocation, budget management, and adherence to project timelines and deliverables. •Exceptional interpersonal skills with a demonstrated ability to collaborate effectively with diverse stakeholders and foster positive relationships both internally and externally.Preferred Qualifications

Preferred:

Master's degree preferably in information systems, MBA, or relevant advanced degree. Additional management and technical experience can be used in lieu of an advanced degree. •Certifications in SAM, IAITAM, ITIL, CSAM, ISO, CITAM, CHAMP, or CAMP.

Physical Demands

Special Job Dimensions:

Typical work hours are Monday through Friday, 8:00am to 5:00pm. Work days and hours vary due to the nature of the University environment and the responsibilities of this position, with occasional evening and weekend work required.
