Job Description

Under the supervision of Manager - Warehouse Operations, the Sr. Operations Specialist - Non-Monetary Gifts is responsible for coordination of activities associated with the non-monetary gift program, including corresponding with ALSAC Liaison Office (ALO) regarding donating items to the hospital, disbursing items to the hospital and hospitality houses as needed, and acknowledging gifts to the donor. Leads and trains full-time and temporary seasonal staff in support of this operation.

ESSENTIAL JOB FUNCTIONS:

1. Coordinates the day-to-day processes for non-monetary donations including toys, clothing, crafts, books, etc. Works with SJCRH staff to ensure that suggested patient gift list is maintained and disseminated in keeping with medical and operational policies & standards. Responds to requests for non-monetary donations. Involves performing essential job functions in an established office environment under normal lighting and climate control tolerances.

2. Responds to problems and questions from ALO, staff and other ALSAC departments in accordance with established policies and procedures. Utilizes Hispanic speaking and writing skills to communicate with donors as requested. Translates letters and toy lists (English and Spanish) as needed for written correspondence.

3. Coordinates with charitable organizations to dispose of donations deemed inappropriate for use at St. Jude; ensuring the distribution of such items is done in a manner that reflects favorably on St. Jude while remaining consistent with the charitable spirit in which items are donated. Works with the Production Center to coordinate pickup of items so that interruption of warehouse operations are minimal.

4. Opens and inspects donations to determine suitability for distribution and use at St. Jude Children's Research Hospital. Ensures that donor cash, checks and credit card information is properly forwarded to the ALSAC cash room for processing. Requires use of a personal computer.

5. Records all donations into Toy Room Daily Status Report to ensure that acknowledgements are mailed efficiently, accurately and professionally.

6. Works with the appropriate staff at ALSAC, SJCRH and affiliates to ensure that appropriate gifts are securely distributed in support of daily hospital operations and special events. Establishes and maintains knowledge of the needs of various departments in order to best serve the interest of patients and families to minimize expenses. Adheres to the government mandated toy recall list to ensure the safety of our patients.

7. Maintains authorized storage areas to ensure that items are secure and can be easily located. Utilizes space efficiently. Coordinates with management for procurement of temporary storage space and scheduled pickups as needed.

8. Monitors inventory of supplies used in non-monetary gift program. Makes suggestions of new items needed or changes that are necessary. Ensures accuracy goals are met.

9. Leads and assists in the establishment of guidelines to implement and maintain the policy & procedures manual. Collects data pertinent to the non-monetary gifts program.

10. Maintains a positive relationships with several areas of St. Jude Children's Research Hospital. Works closely with Gift Planning at ALSAC to cultivate large in-kind donations.

11. Attends meetings with applicable St. Jude Children's Research Hospital and ALSAC staff as a representative of ALSAC Operations team.

12. Leads team members in the completion of tasks to ensure objectives are met and special requests are completed on time. Provide team member performance feedback to manager.

13. Trains new staff on procedures for receiving, processing and documenting non-monetary donations.

OTHER JOB FUNCTIONS

1. Performs other duties as assigned.

2. Performs job duties as assigned as part of ALSACs Business Continuity Management Program, including annual maintenance and testing of business continuity, disaster recovery and emergency response plans.

JOB REQUIREMENTS

Requires ability to understand general arithmetic; must fluently speak and write in English and Spanish, in a clear and understandable manner for donor contact and internal relations. Must understand complex verbal or written instructions; understand data validation/database administration and requires data entry skills; knowledge of Microsoft Office products (including Word and Excel); knowledge ordinarily acquired through attainment of high school diploma or GED and 8-years' experience in customer relation in a warehouse environment. Must possess a valid driver's license.
