The Asset Services Operations Support Specialist will assist the National Asset Services Operations team, including the property management, client accounting, and engineering departments. This role will provide dedicated support to the National Asset Services team to foster growth and ensure consistency across all markets. The Asset Services Operations Support Specialist is crucial in managing various administrative and operational tasks, such as assisting with Asset Services training opportunities and maintaining National Operations resources and databases. This role involves close collaboration with Asset Services leaders and other department partners to implement enhancements, streamline processes, and elevate performance metrics. The position is based in Houston, TX.
It is also the responsibility of the Asset Services Operations Support Specialist not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but also to focus on productivity and results.
POSITION ESSENTIAL FUNCTIONS
Operations Support - 60%:
Monitor and manage permissions for critical systems to ensure secure and appropriate access for all users.
Collaborate with department partners to manage national resources such as policies, procedures, forms, templates, and training courses, ensuring content remains current.
Support project execution by coordinating resources, timelines, and deliverables to achieve successful outcomes.
Develop and distribute clear, consistent communications to inform leaders and property teams about updates to Asset Services.
Remain informed about industry regulations and best practices by participating in relevant industry events and initiatives.
All other duties as assigned.
Training Support - 40%:
Assist in creating Asset Services content and implementing national training programs. Provide administrative support, including note-taking, content drafting, proofreading, and scheduling training sessions.
Manage the Asset Services national training initiatives by ensuring timely enrollments, tracking attendance, and monitoring training requirements while complying with established deadlines.
Collaborate with department partners to create and maintain standard templates for training materials, ensuring consistency and high quality across all programs.
Address and resolve training-related issues to facilitate a seamless training experience for all participants.
Assist with conducting thorough program evaluations using performance measurement tools and reports to ensure optimal results.
POSITION REQUIREMENTS
Bachelor's Degree in Business Administration, Management, or a related field.
Proven experience in an administrative or operational support role, preferably within property management or a related industry.
Previous experience in property management or a related field is highly advantageous.
Familiarity with training and development is considered a vital asset.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
Excellent organizational skills with meticulous attention to detail.
Strong communication and interpersonal skills, both written and verbal.
Ability to work effectively both independently and collaboratively within a team environment.
Strong analytical skills with a proven ability to identify issues and implement effective solutions.
Demonstrated ability to manage multiple tasks and projects efficiently.
Capacity to navigate ambiguity and proactively initiate action.
Driven by a desire for career advancement and continuous improvement.
Must be able to remain in a stationary position 50% or more of the time/constantly operate a computer and other office productivity machinery (ex. a calculator, copy machine, computer printer) or, by request, be provided reasonable accommodations to perform the essential functions of the position.
Travel may be required.
