Position OverviewPOSITION SUMMARYAs a Student Services Software Coordinator, you will play a pivotal role in ensuring the seamless operation and utilization of key software platforms including Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System within our academic institution. Serving as the primary point of contact (POC) as well as functional and technical liaison for these software systems, you will act as the bridge between Information Technology (IT), Student Services, and Student Affairs offices.

ESSENTIAL FUNCTIONS:

Software Management:

Manage and maintain Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System software platforms ensuring optimal functionality and usability.Functional Usage and Configuration:

Oversee the functionality of the systems. Configure software settings to align with institutional requirements and best practices.User Administration:

Facilitate user access and permissions for staff members across relevant departments. Provide training and support to ensure efficient utilization of the software.Interface Coordination:

Act as a liaison between IT, Student Services, and Student Affairs offices, facilitating communication and collaboration to address software-related issues and optimize workflows. Ensure the proper integration interface (direct integration, SFTP, etc.) between the software systems and our SIS, LMS, etc.Campus-wide Collaboration:

Work closely with the Catalog Committee, Curriculum Committee and Data Governance Committee to ensure that software systems accurately reflect current course offerings, curriculum requirements, and academic policies. Additionally, collaboration with constituents' campus-wide will be key, including Academic Deans, faculty, Administration, Physical Plant, etc.Data Integrity and Security:

Collaborate with IT to implement protocols in order to maintain data integrity and security within the software systems, adhering to relevant regulatory requirements and institutional policies.System Updates and Upgrades:

Coordinate with IT to manage software updates and upgrades, ensuring minimal disruption to services while maximizing system capabilities.Troubleshooting and Support:

Provide technical support and troubleshooting assistance to end-users encountering issues with the software platforms.Coordinate the digitizing and archiving of historical educational records paper, CD's, microfiche, etc. to ensure accuracy and efficiency of the process while maintaining compliance with federal and state record-keeping standards.Must attend and assist at ENMU-Roswell commencement ceremonies each semester.Provide support to other staff while maintaining a high level of confidentiality.Perform other duties as deemed necessary or assigned.

ONE-STOP RESPONSIBILITIES:Create an atmosphere of effective, efficient, friendly and reliable service, providing an easy, accessible, credible resource from which individuals can access information.Assist students with online services.Assist with the development of policies and procedures, keeping the procedures manual current.Ensure that all activities are conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe and efficient manner and with minimal supervision.Assist with campus events (i.e., orientations; open registrations on campus and at satellite sites, college fairs, and commencement) and other special projects, as requested.KNOWLEDGE, SKILLS and ABILITIES:

The employee must possess the ability to operate current technology utilized by the department, including but not limited to: Microsoft Office, Banner, WebXtender, telephones, fax machines, copiers, scanners, and computers.Strong written and oral communication skills.Ability to establish and maintain positive working relationships with other employees; strong customer service orientation; ability to manage interpersonal conflict situations requiring tact, diplomacy and discretion; positive attitude; ability to interact effectively with diverse student populations and a wide variety of coworkers.Ability to multitask, solution oriented; detail-oriented; critical thinking skills, ability to read, understand and correctly apply rules and regulations.Ability to work in a fast paced and stressful environment while maintaining a friendly and courteous manner; understand and communicate complex governmental regulations and delivery systems affecting financial aid, financial services, admissions and registration.RequirementsMINIMUM REQUIREMENTS :

Bachelor's degree in Information Technology, Computer Science, Education, or in a related field or an equivalent combination of education and experience.Prior experience working with student information systems or similar software platforms.Strong technical proficiency.Excellent organizational and communication skills, with the ability to effectively collaborate across departments and committees.Attention to detail and accuracy in data entry and configuration tasks.Ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.

PREFERRED QUALIFICATIONS :

Experience with software administration and user support.Familiarity with curriculum management processes and academic policies.Knowledge of data privacy and security regulations in an educational context.
