This position will be working onsite from Miami. Position Summary: The Charter Operations Specialist is responsible for the execution of charter operation planning and to liaise with the Account Executive, charter client and shipboard team to deliver customized onboard experiences. The Charter Operations Specialist identifies the client needs to ensure satisfaction, recommend creative solutions, discern work priorities and meet deadlines. The Charter Operations Specialist should have a background and working knowledge in event planning, music/stage production, group financials, post sailing accounting and final reconciliation. Owns and proactively manages all aspects of inventory and pricing for the largest and most complex charters. Essential Duties and Responsibilities: Owns and maintains the charter client relationship throughout the life of the contract Partners with the Account Executive to execute customized events, special onboard programming and entertainment, unique food & beverage requests, production requirements, excursions, custom itineraries, and other items that may be consistent with the parameters of the client's charter agreement. Maintains an operation plan of customized daily activities & events for each charter. Works with the Account Executive, shipboard management team and the client to ensure these activities and events are perfectly executed. Plans and escorts day visits and site sailings with the charter client & production teams, and when necessary ensures that any unique food & beverage requests, production requirements, excursions, and custom itineraries are consistent with the parameters of the Clients charter agreement Responds to all inquiries relating to the program planning through phone or written correspondence Manages the post-sailing reconciliation by compiling shipboard voyage reports and onboard revenue reports and prepares the final invoice as per the charter contract. Collects and processes incoming wire transfers and payments Performs other duties as required. Ensure received payments and wire transfers are properly managed Prepares Letter of Credit reduction certificates Liaise with Bank regarding information/clarification of the Letter of Credi Notify the Treasury Dept. of received payments to adjust the Letter of Credit Commission processing and post sailing refunds if applicable Ensure all accounting codes are correct and charges justified Reconcile pre/post sailing in conjunction with the Voyage Reconciliation & Balancing Dept. Arrange all Monies on Board accounts and reports Manifest management and stateroom allocation Special Services/Access Department coordination Orders specialty and custom logo items, sea pass cards, photo covers, etc. Conducts site inspections and is onsite for group boarding and sailings Escort VIPs and Celebrities with discretion for embark and debark Register and escort trucks for load in/out Must possess valid TWIC & Port ID to be present with visitors at all timesQualifications, Knowledge, and Skills: Exceptional organizational skills with attention to detail Highly effective communication skills Ability to perform in a fast pace, diverse environment with focus on customer service. Ability to develop strong relationships with the Account Executive, ship and shore side departments. Occasional travel will be required Bachelor's Degree preferred Shipboard operational experience preferred 3-5 years of experience in meeting and charter programming preferred Strong follow-up and problem-solving skills are crucial Highly effective communication skillsWe know there's a lot to consider.
