Job Summary

Supervise daily activities and output of the team charged with financial reconciliation between vendor/division/internal departments, SOP documentation along with reporting and improvement recommendations. Responsible for the team’s activities (such as product offerings, item maintenance, inventory, A/P concerns, escalations for complaints, SOPs) surrounding the vendor community.

Job Description

Responsibilities:

  • Oversee the collection, review and file maintenance of all documentation relating to Distributed Product Operations; provide reports for month end/weekly processing.

  • Responsible for all related activities (such as product offerings, item maintenance, inventory, A/P concerns, escalations for complaints, SOPs) surrounding the vendor community.

  • Ensure timely communication to direct reports and follow up on overall progress by offering coaching and additional training in areas for which objectives are not being met. Based on feedback, oversee and prioritize daily workloads to meet deadlines. - Provide in-depth knowledge and support to various internal departments and team members. Respond to escalated issues or questions.

  • Ensure department Standard Operating Procedures (SOPs) are current and followed.

  • Facilitate and/or participate in divisional meetings in the absence of the Operations Manager.

Management Responsibilities:

  • Responsible for the day-to-day activities and outcomes of a group of employees. 

  • Hiring staff, recommending pay increases, performing performance reviews, training and development of staff, estimating personnel needs, assigning work, meeting completion dates, interpreting and ensuring consistent application of organizational policies.

Required Experience:

Education

  • High school diploma or equivalent.

Work Experience

  • At least 4 years of experience in medical/surgical products distribution and services.

  • Experience applying Accounts Payable/general Finance knowledge.

  • Experience analyzing and reporting data in order to identify issues, trends, or exceptions.

  • Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.

  • Experience taking the steps to ensure the assignment/ project is accomplished within tight timeframes.

  • Experience working with cross-functional teams and facilitating teams to identify and implement solutions to complex problems.

  • Experience with Microsoft Office with an emphasis on Excel (formulas, data manipulation, V-lookups).

Preferred Qualifications:

  • Bachelor’s Degree

  • Experience in the indirect management of team members, including assisting in the development, training and assignment of work/projects to other members of a team.

  • End-user experience with SAP.

  • Experience presenting to various levels of an organization.

  • Experience developing ways of accomplishing goals with little or no supervision, depending on oneself to complete objectives and determining when escalation of issues is necessary.
