Job Overview:

As the Director of Events at Stonehurst Manor and Snowvillage Inn, you will oversee all aspects of event operation. Your role is crucial for driving revenue growth through event sales and exceptional food and beverage service during events. You will build and maintain client relationships, identify potential sales opportunities, close deals, and ensure seamless execution of events, providing exceptional customer experiences. This position requires a proactive, results-oriented individual with excellent communication, negotiation, and leadership skills. You will collaborate with the General Manager and Owners on event initiatives and execution.

Key Responsibilities:

Event Management:

Plan, organize, and execute a wide range of events including weddings, corporate functions, conferences, concerts, charity events, and other special events.

Coordinate with clients to understand their event requirements, preferences, and expectations.

Create event timelines, menus, BEOs, floor plans, and seating arrangements to ensure smooth event execution.

Coordinate and manage all vendors and contracts.

Oversee event setup, teardown, and logistics to maintain high standards of presentation and safety.

Be onsite for the duration of events to oversee all aspects of their successful implementation and execution.

Prepare and process all invoicing and payments.

Meet sales goals and client satisfaction objectives.

Team Leadership:

Recruit, train, and manage a team of banquet servers and event staff.

Delegate tasks and responsibilities effectively, ensuring all team members understand their roles and objectives.

Foster a positive work environment that encourages collaboration, creativity, and excellence in customer service.

Client Relations:

Act as the main point of contact for clients throughout the event planning process, providing guidance, support, and personalized service.

Build strong, long-lasting relationships with clients by understanding their needs and delivering exceptional service and solutions.

Handle client inquiries, complaints, and feedback promptly and professionally, striving to exceed expectations.

Financial Management:

Develop and manage budgets for event operations, ensuring profitability and cost-effectiveness.

Negotiate contracts with vendors, suppliers, and service providers to secure favorable terms and pricing.

Monitor expenses, revenue, and performance metrics to track financial performance and identify opportunities for improvement.

Marketing and Sales:

Develop promotional strategies, materials, and campaigns to attract new clients and retain existing ones.

Lead sales efforts by conducting site tours, hosting client meetings, and presenting proposals to potential clients.

Identify market trends, competitive threats, and opportunities for business growth, and recommend strategic initiatives accordingly.

Sales Generation:

Prospect and identify potential clients through various channels, including cold calling, networking events, and referrals.

Conduct sales presentations and product demonstrations to showcase the value proposition of our events.

Develop customized proposals and negotiate terms to secure new business.

Pipeline Management:

Manage the sales pipeline effectively, from lead generation to deal closure.

Track and report on sales metrics, including pipeline status, conversion rates, and revenue forecasts.

Utilize CRM software to maintain accurate records of client interactions and sales activities.

Collaboration:

Collaborate closely with the management team to develop strategies for lead generation and brand promotion.

Coordinate with the events team to ensure seamless execution of sold event packages.

Provide feedback and insights from clients to inform future event planning and product development.

Market Research:

Stay informed about industry trends, competitor activities, and market developments.

Conduct market research to identify new opportunities and areas for growth.

Use insights gathered to refine sales strategies and optimize targeting efforts.

Qualifications:

Proven experience in event planning, venue management, food & beverage management, or related roles.

Strong leadership skills with the ability to inspire and motivate teams to achieve goals and deliver exceptional results.

Excellent communication, negotiation, and interpersonal skills, with a customer-centric approach.

Proficiency in event management software, Microsoft Office Suite, and other relevant tools.

Ability to multitask, prioritize, and thrive in a fast-paced, dynamic environment.

Flexibility to work evenings, weekends, and holidays as required by event schedules.

ServeSafe Certification.

Ability to frequently lift 50lbs, squat, stand, walk quickly, rotate, bend at the waist, and reach/lift overhead.

Compensation:

Base Pay plus Commission

Job Types:

Full-time, Part-time

Pay:

$57,000.00 - $77,000.00 per year

Expected hours:

No less than 40 per week
