JOB DESCRIPTION:

Birmingham City Schools is implementing a new model of school support, innovation, and transformation with the creation of Learning Community Operations Specialists. While the Learning Community Operations Specialist works closely with and reports to a designated Instructional Superintendent, he/she will also work cross functionally with Finance, Operations, Human Resource and take ownership of all non-academic areas of learning community-based administration. This will provide principals within a learning community one point-of-contact for all operational needs/requests and will provide Instructional Superintendents the opportunity to support school leaders and the school's instructional program versus operational matters that has historically dominated their time.

DUTIES AND RESPONSIBILITIES:Leadership

Oversee, manage, and coordinate all operational functions of the learning network excluding disciplineServe as a key member of the Instructional Superintendent's Leadership TeamFunctions as a problem solver and a liaison between schools and the district in all nonacademic mattersSystems Design

Create and improve systems for all operational aspects of the learning community and the school (technology, maintenance, calendar, procurement, front office management/customer service, student files/enrollment, communication, building use, operational emergencies, personnel matters etc.)Think strategically, anticipate problems and implement solutions around systems for all aspects of operationsRelationship Management

Support all school front offices to become stakeholder responsive and to provide first-rate customer serviceManage all day-to-day operations of the learning network officeManage relationships with custodial services and facility support staffManage relationships with finance and procurement staffManage relationships with HR and employee relations staffOperations

Ensure the creation and/or maintenance of systems and procedures to increase the efficiency of operations in the learning community and the schools within the learning communityDesign and oversee quarterly scheduling processCoordinate set-up for all state-mandated testing, with school testing coordinators and with guidance from the Executive Director of AssessmentFinance/Procurement

Work with facility/operations manager to provide schools regular status updates of requestsImmediately troubleshoot problems that may ariseEnsure proper functioning and maintenance of the heating, electrical, plumbing, roofing, and other building systems in collaboration with district operations staffCoordinate and uphold building safety systems in case of fire, lockdown, or other emergenciesDesign and oversee tracking systems of all school property including copiers, computers, fax machines, furniture, etc.Human Resources

Works as a liaison with HR to fill school-based vacanciesWorks as an agent of HR to investigate allegations of corporal punishment, abuse, or allegations of unprofessional conduct of employeesInstructional Superintendent and Principal Support

Assist the Instructional Superintendent with troubleshooting, planning visits to the school, etc.Complete projects as directed by the Instructional Superintendent or PrincipalPerform other duties as assigned.

QUALIFICATIONS:

A. Required Qualifications:

BA required; (education, business, management or a related area)3 years of administrative support experienceMust have expert skills in Excel and other data base applicationsMust have strong attention to detail and demonstrate a commitment to accuracyManages time and priorities to accomplish multiple vital tasks in a limited time frameA growth-mindset focused on learning and continually improvingMaintains a strong customer service mindsetB. Desired Qualifications:

Master's degree in business/management with project management trainingEducation sector experienceKnowledge of student/school/district databases systems (i.e. PowerSchool, Chalkable, SchoolDude, NextGen etcC. Special Requirements:

Excellent writing and outstanding organizational and planning abilitiesStrong ability to work effectively with individuals and groupsStrong desire to serve as a team playerPossession of problem solving and conflict resolution skills
