POSITION SUMMARY:

The Wellness Center Office Manager will set the tone for the Wellness Center (WC) as a safe and welcoming presence while overseeing clinic operations, ensuring a smooth and efficient healthcare experience for all DU students.

DUTIES AND RESPONSIBILITIES:Manages reception functions, including receiving students for appointments, answering the phone, and attending to electronic communications.Oversees clinic operations, ensuring a smooth experience and minimizing wait times for students.Serves as the primary point of contact for staff and faculty needing information about WC services, including how to refer students for care.All WC staff, including this role, are required to maintain patient confidentiality at all times, adhering to WC policies, guidelines, FERPA, and state laws regarding patient privacy. This position also requires the completion of annual compliance training regarding on privacy and protected health information.Coordinates yearly compliance training for WC staff and student workers regarding privacy and protected health information.Proficiently utilizes WC's electronic health record (EHR) system to manage and organize clinical appointments and student health records. Assists with onboarding new users and deactivating accounts for departing users. Additionally, provides support for troubleshooting and submits help tickets to the EHR vendor and/or DU's IT department as needed.Supports student immunization compliance process as directed by Health Services team.Maintains an adequate supply of current Wellness Center documents and forms (hard copies) as part of WC's contingency plan in case the EHR system becomes unavailable.Coordinates WC team meetings and events in a variety of ways, including reserving rooms, ordering food, and creating invitationsSupports WC clinical staff in crisis situations by communicating with EMS and DU's Campus Safety personnel, releasing patient data according to DU procedure.Orders, maintains, and organizes materials and supplies essential to WC operations.Manages the physical condition of the WC, ensuring a clean and welcoming environment for students and staff. Communicates with housekeeping and physical plant teams as needed.Oversees timecards for hourly student workers.Provides general administrative support to WC staff as requested by supervisor.REQUIRED QUALIFICATIONS:

Associate's degreePrevious experience as an office manager, secretary and/ or receptionist, particularly in a medical or higher education setting.Proficient in a variety of technologies, including the Microsoft suite of toolsPREFERRED QUALIFICATIONS:

Bachelor's degree.Strong organizational skills with the ability to prioritize and shift focus rapidly.Team-oriented with excellent collaboration skills and a positive approach to challenges.Previous experience using an electronic health recordCapacity to navigate high stress situations in a supportive and effective manner.Excellent customer service skills, attentive to needs of students experiencing distress.A deep commitment to patient/student privacy and confidentiality.Cultural humility with an acceptance of differing identities and experiences.Physical Demands:

Salary: $43,888 - $50,400 annualFLSA Status: Exempt, 37.5 hoursBenefits
