ASSISTANT DIRECTOR / UNIVERSITY EVENTSPosition Summary:

The Assistant Director of University Events is a full-time, professional position, with the primary responsibility of supporting the event planning, management, and logistics functions of University Events on CMU’s Mount Pleasant campus. Effectively carries out events for diverse and distinguished guests in a manner that enhances the image of the university. Functions under the supervision of the Director of University Events.Required Qualifications

Bachelor’s degree, preferably in areas directly related to any of the following: event management, recreation, sports management, project management, public relations, communications, organizational behavior, logistics, hospitality, hotel management, or marketing.Three years of professional experience working in event planning and/or production, preferably in a university environment or equivalent combination of education and experience.Ability to assess, evaluate, and trouble-shoot complex event workflow and operations.Experience in program management, event and project management, marketing, or facility-usage management at a university or equivalent industry experience.Thorough knowledge and understanding of concepts, principles, and practices of event management.Strong interpersonal communication skills including social perceptiveness and diplomacy with individuals at all levels in all levels of communication – in person, in writing, or by telephone.Demonstrated ability to manage complex tasks including prompt and persistent review of project deadlines and event needs.Exceptional organizational and project management skills and experience with the ability to multi-task with flawless attention to detail managing in-time responsiveness.Exceptional verbal and written communication skills.Ability to manage students and/or team and take ownership of all assignments to ensure all milestones are clearly communicated and met while developing positive rapport with students, administrators, and faculty.Ability to direct and perform detailed work with accuracy under time demands in a fast-paced, results-oriented, community environment that values growth mindset and life-long learning.Ability to be proactive and provide systems solutions to manage the event process and motivate the team.Ability to perform the essential functions of this position, with or without reasonable accommodation.Preferred Qualifications

Master’s Degree.Working knowledge of event management platforms and technology.Five years of professional experience working in event planning and/or production, preferably in a university environment or equivalent combination of education and experience.Knowledge of and experience working with websites and graphic guides/tools.Ability to communicate university policy and event compliance protocols with various constituents.Duties & Responsibilities

Provides event planning process and logistics management support for campus and community programs.Provides guidance on departmental standards for all campus-wide event support and manage realistic project scope expectations throughout the entire event process when working and supporting event program requests.Provides streamlined experience for campus community when dovetailing coordinated event services for catering, risk management, facilities, production and technology support, and review of reservation and event booking contracts.Manages multiple priorities in a fast-paced environment and provides detailed and concise and responsive communications.Provides training and experience communicating and creating executive-level professional correspondence and communicating across stakeholder groups with superior interpersonal skills.Maintains event management tools and resources and online platform for ease of access to all campus community to include event auditing and reporting to include day of guides for Director review.Maintains the highest level of quality, professionalism, and integrity in all departmental tasks.Maintains event tracking for vendors, facilities, and services to include monthly inventory resource reporting.Maintains event and integrity standards for event and departmental production process and procedures to provide advocacy for event compliance.Demonstrates the ability resolve and manage conflict proactively and project a positive attitude.Assists the Director with departmental projects, reports, and operations.Provides resolution options and communication for event support to campus partners.Provide operational support as assigned to include monitoring request responses and preparing availability grids and timeline tracking.Manages event platforms and technology support and provide operational and on-site support as needed by the Director.Prepares event and system audits and all close out documentation for Director review and maintain communication and progress reports.Provides customer service and communication of event standards, production services, event compliance and campus policies, and guidelines to planners, faculty, and students including facility usage.Trains and supports student staff on systems, platforms, and event process.Updates event reference materials and promotes departmental philosophy and practice of sustainable event management practices.Maintains event and logistics matrix support to include work order, facility and equipment assignment and scheduling, and event service approval and management tracking for review by the Director.Additional duties as assigned.Supervision Exercised
