Event and Project Coordinator

The Event and Project Coordinator provides accurate and timely customer service to our customers, well-coordinated events alongside the President & CEO, and manages projects for Marketing and WSRB internal departments.Interacts with customers by telephone, email and HubSpot to ensure excellent customer service is provided to WSRB customers.Responds to routine and advanced inquiries via telephone and email into the Customer Service department regarding WSRB products and services. Provides customers with information and assistance.Approves new users in the UAD and updates notes within HubSpot.Events CoordinatorPlans and organizes live or virtual meetings and events for an organization or external clients.Implements an event strategy to achieve objectives. Researches and recommends event venues.Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology.Conducts rehearsals and system checks of all equipment and connectivity. Establishes relationships with vendors for event support services.Coordinates budget planning and ensures that events stay within cost projections.May assist more senior event planners in planning larger or more complex events.Manages projects from planning through delivery. Liaises between project members, cross-functional teams, external vendors, and other stakeholders to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated.Utilizes appropriate tools to plan project timelines, tasks, milestones, and deadlines.Communicates schedule and changes to all stakeholders. Plans and facilitates project meetings to align the project team to methods and goals and to track project tasks.Prepares agendas, meeting notes, and project summaries. Monitors task completion status to identify at risk project tasks and to develop mitigation plans.Allocates resources, budgets, and hours to the project and adjusts allocations when necessary.Supervisory Responsibility:

5+ years of experience providing customer service.3+ years’ experience as events coordinator.Experience with strategic planning and creating long-term strategies and objectives.Advanced analytical and problem-solving skills.Excellent oral and written communication skills.Valid driver’s license required.Satisfactory driving record required.Internal/External Contacts:

There is daily contact with all internal department personnel, and all levels of management at WSRB. Has frequent contact with public, industry professionals, and customers.Working Conditions:

Work from home, occasional meetings in Tukwila, WA.Travel to Seattle up to 8 times per year for All-Team and department meeting.Ability to use computer mouse and keyboard.Ability to sit for long periods of time.
