Associate Director, Office of the CEO

to join their rapidly growing team. This is a pivotal role responsible for supporting strategic initiatives, oversight of a very complex schedule, and managing key administrative and operational deliverables for the Office of the CEO. Reporting directly to and supporting the CEO, this individual collaborates with the leadership team, clients and portfolio companies to assist the CEO in driving accountability and achieving company goals. They work closely with the Office Manager, EA and coordinate closely with the CEO’s Family Manager, ensuring efficient administrative support and office operations. Responsibilities also include Board Meeting preparation and coordination, research, special events coordination, special projects and memo and presentation preparation most commonly in Word, PowerPoint and Excel.Effective, tactful, and professional communication and stakeholder management are essential, as this highly visible role involves acting as a liaison between the firm and external parties via written, telephone and in-person communication. 100% onsite , exempt position based in Chicago, IL.ResponsibilitiesStrategic and Operational Support:Support CEO in managing multiple board positions by reviewing board preparation materials and at times attending meetings alongside the CEO, interpreting and disseminating key takeaways for CEO, internal team, and/or external stakeholders.Translate, prepare and communicate key deliverables on behalf of the CEO through meeting agendas, PowerPoint decks, memos, and emails to internal and external stakeholders.Create and manage operational processes for the Office of the CEO.Assist in managing day-to-day operations and strategic projects, acting as a trusted advisor and executive support to ensure that they are completed on time and within scope, aligned to firmwide and personal goals of the CEO.Monitor and report on key performance indicators (KPIs) to the CEO to ensure the firm meets its strategic objectives.Administrative Management:Coordinate with the Office Manager, ensuring efficient support for the leadership team and office operations including facilities management, vendor relations, and procurement of office supplies and services.Support the management of the CEO’s schedule including strategically organizing appointments, meetings events and travel arrangements and directing the Executive Assistant and Office Operations as needed.Coordinate closely with the Executive Assistant and the CEO’s Family Manager to ensure that personal events as well as strategic priorities are proactively managed.Establish and document routine workflow and processes across team members and administrative responsibilities.Assist in the preparation and management of the administrative budget, ensuring cost-effective operations.Communication and Event Coordination:Facilitate effective communication within the firm, ensuring that all team members are informed and aligned with company goals.Act as a liaison between the firm and external stakeholders, including investors, partners, and service providers.Leverage strong written skills to deliver special projects, prepare memos and presentations most commonly in Word, PowerPoint and Excel.Organize and coordinate company events, meetings, and conferences together with the Office & Events Manager.Recommended Minimum QualificationsA bachelor’s degree is required, along with proven experience in business operations, project management, or executive administration within a fast-paced industry such as private equity, management consulting, politics, media, or a related field.6 to 8 years of professional experience with at least 2+ years of client relationship management or leadership experience.Ability to thoroughly and quickly understand the business and related tools and protocols.Advanced proficiency in Google Workspace and MS Office Suite.Excellent verbal and written communication and strong attention to detail.Trusted with handling sensitive company information, demonstrating a high level of discretion and confidentiality.Preferred Skills & ExperienceProven ability to juggle multiple projects and meet tight deadlines, showcasing strong ownership, organizational, and time-management capabilities under pressure.Socially approachable; desire to work in a team environment and comfortable with people-facing responsibilities.Skilled in professional and diplomatic written and verbal communication, capable of engaging effectively with a diverse range of internal and external stakeholders with high executive presence.Comfortable with ambiguity and creating order out of chaos; ability to determine clear action items for the CEO and key stakeholders with little direction.Strong project and change management skills with the ability to execute strategic projects with a high level of diligence and precision.Self-starter and self-motivated with a proactive approach to identifying and addressing issues.Available to work onsite daily in downtown Chicago, ILWilling to work evenings and/or weekends to achieve critical mission goals.Understanding of basic financial statements and financial information is a plus.Compensation Range : DOE $120,000 - $160,000 USD (annual salary + bonus) & benefitsWhat to Expect from Our Selection ProcessOur client is a diverse and collaborative team committed to investing in each team member and their development.
