Job Description Summary

The Office of the Vice President for Student Affairs (OVPSA) is responsible for creating frameworks, policies, and processes that are used by all departments in the division to deliver an innovative and transformative experience for our undergraduate students. In addition, OVPSA staff ensures that divisional initiatives continue to extend learning outside-of-the-classroom and create a sense of connection and belonging for every undergraduate student.

Reporting directly to the Assistant Vice President of Student Affairs and Chief of Police, the Associate Director, Student Affairs Business Systems plays a critical role in managing nine enterprise applications and multiple non-enterprise systems. These systems facilitate cross-functional coordination, data integration, and support essential business decisions. As a custodian of sensitive information and Level 1 Data, the Associate Director, Student Affairs Business Systems leverages Information Technology to achieve strategic business goals. Their responsibilities include designing and developing new systems, configuring hardware and software, and ensuring seamless operations.

Essential Duties

Application Support:

Manage Information Technology applications within Student Affairs, including StarRez (Housing), ARMS (Police), ARMS (Athletics), Campus Groups, ISSM, iModules (with Advancement), Medicat, Advocate (CARE), RAVE, and Titanium.

Handle system configuration, vendor engagement, contract renewals, troubleshooting, reporting, and documentation.

Provide training to Student Affairs staff as needed.

Workday Reporting:

Serve as the point person for Student Affairs in Workday reporting.

System Integration and Maintenance:

Liaise with Information Technology to manage system integrations, upgrades, and maintenance.

Represent Student Affairs on relevant Information Technology committees.

System Design and Implementation:

Collaborate with management and users to understand system requirements.

Design systems aligned with business goals, specifying inputs and formatting outputs.

Develop specifications, diagrams, and flowcharts for implementation.

Oversee system implementation, testing, and performance validation.

Data Flow and Efficiency:

Facilitate data flow between the primary Student Information System (SIS) (Workday) and other software programs.

Act as the key user for report creation and data maintenance within the Division of Student Affairs.

Identify opportunities to streamline technological processes for improved functionality.

Proactive Maintenance:

Stay informed about software upgrades and schedule required maintenance proactively.

Advocacy and Collaboration:

Collaborate with Information Technology project managers to advocate for Student Affairs needs within broader IT initiatives.

Other Duties

Provide comprehensive and robust services that support the operations of the Division and its units.

Seek efficiency and sound financial stewardship through consolidation, virtualization, right-sourcing, and life-cycle planning. Build and maintain technical infrastructures and environments that emphasize innovation, mobility, agility, technical currency, accessibility, best practices, scalability, and adequate capacity.

Maintain a high-quality, technically skilled, user-focused, enthusiastic, flexible, and diverse information technology culture.

Ability to evaluate current and existing processes that affect the end users.

Minimum Qualifications

Bachelor's Degree with 5 years of relevant experience.

Master’s Degree and experience in higher education systems preferred.

Attention to detail, ability to manage ongoing and multiple responsibilities, and strong work ethic.

Passion for working in a fast-paced and dynamic department as an active and engaged team member.

Experience in multicultural settings, diversity training programs, second language fluency, or coursework in multicultural perspectives is desirable.

Work Environment

Ability to work in an open flexible office space, which allows for increased collaboration among colleagues and students.

The position requires an ability to manage multiple priorities in a fast-paced environment.
