Reporting to the College Dean, the Director of Operations manages the day-to-day college operations and provides financial administrative support. This role is responsible for overseeing and carrying to completion a wide variety of tasks connected with operational, fiscal, and personnel policies and procedures of the college and institute.

COMMUNICATIONS

Establish and maintain cooperative working relationships with staff in other university departments for purposes of information sharing. Assist faculty, administration, students, and university staff in planning, coordinating, organizing, and implementing issues related to college operations via multiple forms of communication (written, verbal, and electronic).

CUSTOMER SERVICE

Provides decision support for the Dean and contributes to the vision, mission, and values of the university through responsible and effective work performance. Expected to troubleshoot and resolve issues and challenges as they arise, with timely consulting as/if required, and timely reporting of outcomes to supervisors.

Qualifications

Education & Experience

Minimum qualifications include a bachelor’s degree, plus a minimum of three years work experience. Equivalent professional work experience may be considered in lieu of degree. Other job-related education and/or experience may be substituted for part of these basic requirements.Knowledge & Skills

Requires strong communication skills working with individuals from various groups (faculty, staff, students, vendors/contractors, etc.), and the ability to prioritize and handle multiple projects simultaneously and effectively. Must have the ability to work effectively under deadlines pressures/time constraints. Skilled in preparing and presenting effective and accurate data and information. Capable of recognizing essential issues from non-critical items along with the ability to work independently with minimal supervision. Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal and external constituents. Ability to think analytically and critically, and work well under pressure. Solution, deadline and detail driven. Discretion and sensitivity to confidential matters. Practical knowledge of higher education issues and trends as they pertain to enrollment college operations.

SUPERVISION & BUDGET AUTHORITY

Supervises one full-time staff (within operations duties). Supervise Dean’s Office student assistants.

Physical Environment and Requirements

Ability to use all normal office equipment and spend 6 – 8 hours per day at the computer.

Key Responsibilities

COLLEGE OPERATIONS:

Review and maintain academic assessment, and college operations related information. Coordinates all the employment paperwork coming out of Engineering. Assist with staff, faculty, and researchers hiring activities. Coordinate the creation of FT & PT faculty appointment letters. Work closely with HR, the International Office, and Student Employment Office to support the hiring process. Maintain records of active part-time staff, adjunct faculty, and student workers each semester. Provide on a regular basis enrollment projections and analysis to the Dean. Participate in annual ASEE /US News and other data gathering, review, analysis, and verification. Responsible for gathering information for the preparation of Armour college General Faculty Meetings and assisting with the development of the PowerPoint presentation.Establish procedures and systems to organize and facilitate efficient College operations. Recommend changes/endorsements to various systems, including purchases and upgrades. Responsible for the creation of manual books of procedures for the college operations and administrative procedures to integrate and normalize the processes in the six engineering academic departments and programs. Identify areas/topics where staff training is needed and facilitate training sessions as approved by the Dean. Arrange for training and workshops for ACE staff continuous development.Responsible for the oversight and management of all Facilities (including telecommunications) for the college. Serve as the liaison to OTS and the Institute Facilities/maintenance office to ensure issues are resolved in a complete and timely manner. Assists in the planning, coordinates with facilities, and follow up on small-medium size renovation projects in the college (under $100K). Responsible for ensuring sufficient administrative support is provided to the Associate Deans, Director of Finances, and the Armour Academy. Supervise the front desk and student workers, provide training and assignments. Responsible for the Management of all supplies for the Dean’s office.Participate in university-level committees, and proactively collaborate with key administrative offices throughout the campus (Controller, payroll, HR, International Center, GCA, OSRP, Graduate College, etc.) to strengthen partnerships, communicate the needs and activities of Armour College, and further evolve policies and procedures that benefit engineering. Additional responsibilities as assigned.Coordinate college-wide laboratory safety procedures, training, and implementation across departments that are compliant with university requirements and best practices in engineering.Posting Information
