Motorsports Admin (Full-Time)

The Motorsports Admin plays a pivotal role in supporting the Motorsports and Venue Sales Team leaders, ensuring seamless coordination and execution of daily operations. This position requires a proactive and detail-oriented individual to manage a broad range of administrative and operational tasks, facilitating smooth workflow and contributing to the success of the Motorsports Team. The Motorsports Admin is key to maintaining efficiency and ensuring all team needs are met, driving operational excellence across the board.

Job Duties

Prepare and Distribute Sales Materials: Create, organize, and distribute key documents such as decks, proposals, contracts, welcome packets, Banquet Event Orders (BEOs), and more, ensuring timely follow-up to facilitate client communication and deal progression.Manage Incoming Sales Inquiries: Serve as the first point of contact for sales leads via email and phone, providing prompt, professional responses and routing inquiries to the appropriate team members when necessary.Calendar Management: Oversee and maintain the schedules of Motorsports team leaders, ensuring efficient time management, conflict resolution, and meeting preparation.Site Visit Coordination: Organize and execute client site visits by arranging all pre-visit logistics, confirming that designated areas are prepared, and conducting guided tours to ensure an exceptional client experience.CRM Data Entry and Maintenance: Accurately enter, validate, and manage sales data in the company's CRM system (Salesforce) to ensure all records are up-to-date and reliable for reporting and decision-making.Coordinate Race Credentials and Comp Requests: Compile and manage detailed reports for race credentials and comp requests, craft clear email communications, and ensure timely delivery of passes and assets to clients, ensuring a smooth and seamless experience for all attendees.Other Duties and Projects as Assigned: Flexibly assist with a variety of special projects and additional responsibilities as needed to support the evolving needs of the Motorsports team, ensuring no task goes unmet and maintaining a high level of team performance.Requirements

Superior verbal and written skillsKnowledge of CRM SoftwareKnowledge of salesStrong organizational skills withAbility work in a fast-paced environmentFlexibility in working long or extended hoursPhysical Demands

Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms.Ability to lift and/or move up to 15 pounds.Ability to squat, bend, twist, push/pull.Ability to stand/walk for long periodsWork Environment

The noise level in the work environment is usually moderate but can be loud during events
