Associate Director, Constituent Engagement

Reporting to the Senior Director of Constituent Engagement, the Associate Director of Constituent Engagement is responsible for planning and implementing engagement programming, including but not limited to homecoming, alumni awards, athletics hall of fame, and golden reunion. This position may be the primary liaison for the office to one or more committee(s) of the alumni association board of directors.

COMMUNICATIONS

Superior interpersonal, communication, and organizational skills are required. Communication types will include written, verbal, print, and electronic vehicles; and communication audiences will focus on internal advancement and Illinois Tech staff, university leadership, faculty, students, trustees, volunteers, alumni, friends, prospects, and donors.

CUSTOMER SERVICE

This individual must provide the highest quality customer service to both external and internal customers. This individual will regularly provide leadership on work with university and volunteer leaders, including alumni, faculty, parents, and trustees, and high-quality customer service is paramount for these interactions.

Special Schedule Requirements

Some evening and weekend events. This person may travel for alumni events.

Qualifications

Education & Experience

Bachelor’s Degree and at least three to five years of experience working with volunteers, preferably in an advancement setting. Experience working in a scientific or technological field and/or a strong working knowledge of science, technology, and related issues is a plus.Experience managing events focused on external audiences is desired.Knowledge & Skills

Demonstrated and proven experience in volunteer leadership engagement and management.Demonstrated ability to think and work strategically.Committed to seeking continuous improvement and innovative solutions, along with the proven ability to develop, implement, and enhance programs and/or systems.Creativity is desired.Demonstrated high regard for teamwork and collaboration.Must be able to prioritize independently and possess strong planning and project management skills.Experience with relationship management and relationship management systems.SUPERVISION & BUDGET AUTHORITY

This person will manage the budget related to programs under their direction.

Key Responsibilities

Homecoming:

The associate director will collaborate with the senior director of constituent engagement to determine programmatic content, featured speakers and guests, and attend and staff select events as appropriate. They will partner with the events team to implement Homecoming related programs, logistics planning and coordinate aspects for alumni events, including coordination with hosts, program management, event logistics, contracts, invitations, guest lists, and follow-up as needed. The associate director will build and manage relationships with regional volunteers to grow regional programs' success and implementation. The associate director will evaluate, develop, and implement Homecoming related engagement strategies, including volunteer-led programs, virtual programs, career and professional development programs, and more, aimed at increasing connection to the University. They will collaborate with faculty and administration to leverage opportunities for alumni engagement in key regions, develop training and support systems for alumni volunteers, and collaborate with advancement colleagues to identify volunteer leaders in key areas.Percentage Of Time:

International Committee:

The associate director serves as the primary liaison between the office and the International Committee from the Alumni Association Board of Directors. This role will support the chair of the committee through agenda development, committee management, and communications related to committee initiatives.Percentage Of Time:

Alumni Recognition:

The associate director will oversee selection of recognition programs, including alumni awards and athletics hall of fame. This role will collaborate with committee(s) and academic/campus partners to solicit nominations for recognition and lead planning for celebration of these awards.Percentage Of Time:

Golden Reunion:

The associate director will oversee planning and implementation of programming focused on alumni celebrating 50+ years since graduating from Illinois Tech. Activities may include partnership with commencement, homecoming, or academic events.Percentage Of Time:

The associate director may manage a portfolio of regional prospects and parents at the leadership annual giving level.Percentage Of Time:
