JOB REQUIREMENTS: Public Nonprofit Leadership, Office Manager We\'re seeking an Office Manager who wants to perform the important work of keeping work operations organized, while simultaneously working to make Wisconsin just a little bit better place for all of us. Our mission is to help the public and nonprofit sectors to obtain funding, create policies and implement practices that will help achieve a more efficient, profitable and sustainable organization. Public Nonprofit Leadership is the sole contractor to Wisconsin Clean Cities, a coalition of businesses that are building alternative fuel infrastructure across the state thereby reducing harmful emissions and increasing energy and economic security. Summary Our successful Office Manager will ideally have experience managing a small but dynamic multi-pronged or funded office environment. They\'ll be highly organized, energetic, process-oriented and people savvy. The most successful candidates will be both big-picture and detail oriented, authentic and passionate. They\'ll enjoy working both independently and collaboratively, be focused and able to juggle multiple priorities and projects. The most successful candidates will have some capacity to be entrepreneurial and nimble as well as be great at implementation and follow-through. The most successful candidates will also be tenacious, accountable, passionate about keeping others organized and the flow of work moving forward. They will be comfortable with addressing differences and conflict while simultaneously also humble and eager to receive and integrate feedback. They\'ll bring great integrity and customer service to all they do. Responsibilities Currently, this is a Hybrid Position. The Office Manager position will primarily work from their home but maintain a minimum of on-site work one day a week and more depending upon meeting needs. Provide Structure and Routine: Develop processes and procedures for the company in all aspects of organizational operations. Meetings and Events and coordinating meetings with external parties. Manage internal and external communications and correspondence: This includes responding to emails, social media postings, answering phone calls, making telephone calls, e-mail, and snail-mail correspondence with association board members, coalition members clients, partners, and stakeholders. Record keeping: This includes activities such as maintaining paper and electronic documents, processing paperwork, and handling day-to-day operations. Administrative tasks may include managing employee schedules, tracking attendance, and overseeing office supplies and equipment. This role works independently with minimal day-to-day supervision, but it also works collaboratively with the Executive Director and other staff, ensuring the Accounting, Information Technology, and Recruiting to ensure the integrity of our information and systems, and that we hire great people, and that everyone is trained. Our Office Manager will: Ensure daily, weekly and monthly financial responsibilities are completed with detail, accuracy, completeness and timeliness: Pay vendor invoices Interact with in-house and 3rd parties to ensure charges are sent and processed Collect payments from members and funders and deposit payments Be the ambassador of our company culture Address complaints, and resolve problems Maintain all files, and respond to record requests Serve as facility expert on IT systems Provide outstanding great customer service Continuously improve systems and processes Protect the organization\'s value by keeping information confidential Perform the functions of Accounting, Finance, Information Technology, and Human Resources departments Work cooperatively with all levels of employees, management and external agencies Perform additional duties as assigned Report directly to the Executive Director ***** OTHER EXPERIENCE AND QUALIFICATIONS: Qualifications A degree or equivalent in office management, HR, accounting or a related field 3+ years of experience Competency with Microsoft Office Suite & QuickBooks Proficiency with Social media: Facebook, LinkedIn, WordPress Experience with nonprofit or public corporations, preferred.
