The responsibilities of a Senior Operations Specialist involve interfacing with team members and service providers on matters related to:Client account activity and reportingThe client account setup process as well as incoming and outgoing cash flows; ensuring appropriate documentation, verifying necessary information, confirming proper systems entries and communication flow both internally and externally; interfacing with client representatives, custodian banks, and operational service providers on account opening processes and ongoing updates, including international market registrations and related documentation; interacting with and advising clients, consultants and prospective clients on processes and documentation needs; and ensuring timely production and distribution of client reports.Commingled fund operationsNumerous operational and accounting matters regarding the firm's commingled private funds, including review and validation of monthly client reporting; facilitating and overseeing annual audit and tax preparation processes; operations- and administration-related inputs to product development, such as building operating expense models, and managing the account setup process with the fund custodian and fund administrator; responsibility for issues that arise related to portfolio valuation and fair valuing of underlying securities; management of fund-related expenses including calculation and monitoring of expense accrual schedules, necessary calculations for allocation of expenses across multiple funds, validation of invoices and expense amounts, and processing of payments; management fee calculations and payment processing; and more.Portfolio accounting/trade settlementMonitoring reconciliation reports and communication flows; identify and address unresolved trade settlement issues and other portfolio accounting-related matters, prioritizing and escalating as needed.Regulatory filings and compliance monitoring and testingResponsibility for the firm's required regulatory filings (such as ADV, Form PF and Form D), gathering information and data as needed and submitting filings to meet deadlines; responsibility for the firm's ongoing compliance testing program, including review of relevant firm documents, processes, and reports, discussions with team members regarding activities related to the firm's code of ethics, and more, including regular interface with the firm's compliance consultant; monitoring of employee personal trading activity, employee brokerage statement review, and processing of personal trade requests.Required SkillsHeavy attention to detailExcellent communication skills, both verbal and writtenStrong ability to prioritize and collaborate to meet aggressive deadlinesDependable and able to self-motivate, work independently, and handle multiple functional areas as part of a small firmKnowledge regarding/comfort with equities, valuation/pricing, back-office operations, performance, compliance, and commingled funds - operations and accountingAdvanced Excel skillsKnowledge of/experience with custodian and fund administration software platformsWorking knowledge of/experience with GIPS a plusQualificationsThe ideal candidate would have 5-10 years of investment operations experience; specific experience in fund accounting a plus. Experience with administration of 3(c)1 private funds, CITs, UCITS and/or ETFs a plus.
