We seek a professional, take-charge Sr. Executive Assistant to keep business operations organized, managed, on track, and moving forward. Candidates must possess strong communication skills, both written and oral, the ability to multi-task efficiently in a fast-paced environment, and the ability to work independently with initiative, discretion, and confidentiality. You will ensure that the Executive’s productivity is enhanced by managing calendars and schedules, including managing expense reports. You must have the ability to manage multiple high-priority assignments and foster and maintain strong working relationships within all levels of the company and outside vendors and contacts. You will create and/or modify presentations as needed, work on complex assignments, and require considerable judgment, initiative, and specialized knowledge to resolve problems and/or develop recommended solutions. Your work will be completed with minimal supervision as assignments are of the highest quality, and follow-through is outstanding. Contributing to a positive, effective team culture is also a critical component of this role.This position will require you to be in the office 3-4 days/week.Responsibilities

Provide administrative support to the Chief Operating Officer and other senior leaders within GondolaBio and related affiliates.Calendar, meeting, and event management to coordinate internal and external meetings/events, including staff meetings, executive briefings, team meetings, patient advocacy, etc.Apply discipline and rigor around and clarifying context and purpose with senior leaders you support as well as participants.Handle all travel (flight, hotel, car) arrangements for domestic and international travel.Expense management duties, which include submitting expense reports and receipts in a timely manner.Budget Management, Vendor Management, and Coupa Support.Provide onboarding support for new hires within the team and be a point of contact for new hires.Provide onboarding support for new vendors and agencies when needed, ensuring they have the proper access and documents/enablement required to get them up and running.Contribute to a positive, effective team culture.Project work as needed to support each team’s goals.No matter your role at GondolaBio, successful team members are:Patient Champions, who put patients first and uphold strict ethical standards.Entrepreneurial Operators, who drive toward practical solutions and have an ownership mindset.Truth Seekers, who are detailed, rational, and humble problem solvers.Individuals Who Inspire Excellence in themselves and those around them.High-quality executors, who execute against goals and milestones with quality, precision, and speed.Education, Experience & Skills Requirements

Bachelor’s degree or equivalent experience preferred.3+ years of administrative assistant experience.Previous experience as an executive assistant in the biotech industry or a related field is highly desirable.Ability to thrive in a fast-paced environment with minimal guidance.Proactive, one step ahead, work ethic, attitude, and approach.Able to multi-task and juggle multiple calendars, teams, and requests.Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements.Superior communication skills with the ability to work across all levels, internally and externally, with a high level of confidentiality, discernment, and judgment.Desire to grow, take on your projects and work under pressure while consistently meeting deadlines.Experience working with all levels of management, employees, vendors, and customers.Experience with MS Office applications, including Outlook, Word, PowerPoint, SharePoint, and Excel.What We Offer
