Position Summary

Institutional Support Services (ISS) is a division at UNM dedicated to contributing to student success by creating a beautiful, functional, and culturally rich environment for learning, research, and collaboration. ISS is committed to providing exceptional customer service and innovative solutions to support the campus community.

The Office Assistant will play a crucial role in supporting the daily operations of Institutional Support Services (ISS) at the University of New Mexico (UNM). This position involves a variety of administrative tasks that are essential to maintaining an efficient and effective office environment. The successful candidate will assist with Chrome River reconciliation, Journal Voucher processing, planning and scheduling, technical setup for meetings and events, agenda drafting, Smartsheet support, and Excel tasks. Additionally, the Office Assistant will manage key email accounts and schedules for the Assistant Vice President (AVP), Executive Director (ED), and Manager of Administrative Operations (MAO).

The role requires a detail-oriented individual with strong organizational and communication skills, who can effectively manage multiple tasks and deadlines. The Office Assistant will work closely with the Administrative Officer and Manager of Administrative Operations to ensure that the department's goals are met, and that exceptional customer service is provided to the campus community.

Key Responsibilities:

• Assist with Chrome River reconciliation and reimbursements, and Journal Voucher processing

• Support planning, scheduling, and technical setup for meetings and events

• Draft agendas and provide Smartsheet and Excel support

• Manage key email accounts and schedules for the AVP, ED, and MAO

• Provide general administrative support to the department as needed

• Strong organizational and time management skills

• Proficiency in Microsoft Office Suite, particularly Excel

• Excellent written and verbal communication skills

• Ability to handle confidential information with discretion

• Detail-oriented with the ability to manage multiple tasks simultaneously
