The Senior Administrative Professional supports advanced department administrative office functions and provides high level customer service. The Senior Professional relieves a division director, department manager or other organization official of many administrative details. Must have sufficient knowledge of organization's structure, policies and personnel to make administrative decisions, exercising independent judgment and discretion. Directs and reviews work of administrative staff as appropriate.Additional Information

Responsibilities

POPULATION SPECIFIC CARENo direct patient care.ESSENTIAL FUNCTIONSAn employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.Provides advanced administrative functions and manages processes that support a department and its team members. Contributes to workflow improvement.Provides complex administrative support such as creating presentations, creating meeting agendas, taking notes, creating workflow charts and graphs, and managing department website. Responsible for proofreading and editing written communications with a high degree of complexity.Assists in special department projects as directed by department leadership. May involve tracking project times, compliance, maintaining logs, and communication updates to team or management.Assists in training and orienting team members to department as needed. May include editing and compiling of training documentation.Coordinates accounts payable and accounts receivables or performs purchasing card reconciliations for department. May include: invoice generation and tracking; creating, maintaining and tracking quotes.Coordinates multiple calendars and schedules including leadership and department calendars and events. May coordinate business travel plans.Prepares, distributes, and communicates reports as needed. Assists with documented preparation for grants and contract submittals.May perform some data entry functions into various database systems.Orders, maintains and tracks supplies and inventory.Provides reception support and other administrative support functions including answering and directing phone calls, responding to and sending fax, mail, email communications and providing copy services.Provides customer service support and assistance to patients, families, internal team members and external vendors and partners.Supports patient safety by adhering to all infection control policies and safety guidelines.
