Monday-Friday, 8:00 AM – 4:00 PM

Qualifications:

Five consecutive years of administrative experience supporting senior management in a fast-paced environment; must be proficient in Microsoft Office software, including Word and Excel; superior organizational skills are required; must display necessary people skills to successfully interact with owners, residents, vendors, and fellow employees.

SUMMARY OF FUNCTIONS:

Responds to owner and resident concerns via personal meetings, telephone, and computer-generated correspondence; creates and maintains databases; orders supplies; files; and performs other administrative duties as directed by the GM. Assists the GM in providing regular and frequent communication to owners and residents on activities within the building. In the absence of the GM, provides support to the Maintenance Supervisor. Supports the Board of Directors’ President and/or Board members as required.

MAJOR DUTIES:

Schedule appointments for the GM; process incoming mail; perform other office duties.

Confirm employee timesheets and maintain records on hours worked, vacation time accrued/used, leave of absence(s), employees on temporary disability insurance (TDI), and workers' compensation. Maintain workers' compensation injury files containing Security’s incident report, WC-1 form, and all medical and injury-related documents.

Maintain personnel files for each employee, including Personnel Action Forms, return to duty forms, and copies of all documents related to employment. Upon termination of employment, file employee personnel file in Past Employee file.

Maintain a current list of all owners and non-owner residents, using rental agreements and resident data forms. Ensure that BuildingLink is updated to include all owners and non-owner resident data.

File Incident Reports prepared by Security in the appropriate unit folder.

Supervise the housekeeper who cleans common area hallways and the Owner’s Suite C-300.

Receive payments for lost fobs, surfboard storage, Owner’s Suite rentals, and other monetary transactions approved by the GM and/or Board of Directors.

Assist the GM in planning special events, scheduling building water shutdowns, posting notices, preparing monthly communication bulletins, and sending notifications to residents via BuildingLink.

Every Monday, submit invoices, debit card receipts, and petty cash receipts to Hawaiiana Management Company Accounting department.

Every other Thursday (or Wednesday if there’s a holiday), prepare employee timesheet for submission to Hawaiiana Management Company Payroll department. The timesheet must be approved by the GM prior to submission.

Pay:

$60,000.00/year
