About the Role:The Executive Assistant – Midwest Region reports to the Regional Vice President and is critical in supporting senior leadership administrative functions over a large department and functional area. This position requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of tasks with discretion and professionalism. The Executive Assistant serves as the primary point of contact for internal and external stakeholders and must exercise a high level of confidentiality and diplomacy as a representative of the university.

Location: This position requires you to be located in Chicago, Illinois with the ability to work a hybrid schedule with a minimum of 2 days in office at 111 W. Jackson BLVD Suite 1700 Chicago, IL 60604.

What You’ll Do:

Manage senior leadership calendar including scheduling appointments, meetings, and travel arrangements. Anticipate and prepare materials required for meetings to ensure leadership is well-prepared for engagements.

Arrange travel for leadership and the team including flights, accommodations, and itineraries.

Prepare agendas, take meeting minutes, and follow up on action items as needed.

Establish and maintain reporting and tracking of deliverables and action items. Organize and maintain electronic and physical file systems ensuring efficient document retrieval.

Manage confidential and sensitive information with discretion.

Serve as a liaison between senior leadership and internal/external audiences and represent the university.

Coordinate and facilitate communication between senior leadership and various stakeholders, including leadership, faculty, staff, students, and external stakeholders.

Oversee daily office operations including managing supplies, coordinating office equipment maintenance, and handling administrative requests.

Monitor and manage budgets related to the senior leader’s office. Process and track financial transactions and expenses. Create and submit expense reports for corporate credit card and senior leadership expenses.

Assist with special projects and initiatives as assigned by senior leadership.

Plan, organize, and coordinate meetings, conferences, and special events.

Perform other related duties as assigned.

Knowledge, Skills, and Abilities You’ll Need to be Successful:

Ability to work with confidential information and apply maturity and discretion in daily operational role.

Proficient in the use of Microsoft Office Suite.

Efficient and organized with great attention to detail and follow through.

Strong written and verbal communication skills – ability to articulate concepts and ideas effectively with minimal supervision.

Excellent time management skills, and ability to work flexible hours when needed.

Ability to prioritize assignments, and work on multiple deadline-driven priorities.

Experience managing expense reports and tracking a budget.

Experience in working with analytics to analyze data and identify trends.

Minimum Requirements:

Associate’s degree required.

4 years of related experience supporting senior leaders.

Preferred Requirements:

Prolonged periods sitting at a desk and working on a computer.

Experience managing expenses and tracking a budget.

Microsoft Office Suite proficiency.

The salary range for this position takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs.

At WGU, it is not typical for an individual to be hired at or near the top of the range for their position, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is: Pay Range: $66,300.00 - $99,500.00.
