Candidates in Southern California (especially Orange County) are preferred. You’ll be responsible for personalized assistance, anticipating needs, and managing priorities while maintaining professionalism and strict confidentiality. Flexibility and adaptability are key as you manage various tasks in a dynamic environment.Key Responsibilities:Serve as the primary point of contact between the Executive Team and internal/external stakeholders.Screen and prioritize incoming communications, emails, and requests.Manage a complex calendar, schedule appointments, and coordinate meetings.Proactively adjust appointments and meetings as necessary.Prepare and organize documents and reports, ensuring easy accessibility and confidentiality.Arrange travel, accommodations, and meals, including itinerary and reservation planning.Assist with email correspondence, prioritize messages, and follow up on action items.Handle errands and miscellaneous tasks.Prepare materials for meetings and appointments.Conduct research and compile information for projects.Research, hire, and supervise vendors as needed.Plan and organize events and business conferences.Manage incoming requests (verbal or written) in a professional and courteous manner.Maintain accurate records, databases, and filing systems.Assist with special projects and ad-hoc tasks as assigned.Identify opportunities to improve efficiency and processes proactively.Oversee critical tasks and projects as assigned.Minimum Requirements:Minimum of 5 years as an Executive Assistant.Excellent verbal and written communication skills.Strong computer literacy, including proficiency in Microsoft Office applications.Exceptional multitasking and organizational abilities.Capable of working effectively with minimal supervision.Physically able to work seated in front of a computer for extended periods.Education: Bachelor's Degree required.
