We are seeking a detail-oriented and organized Medical Administrative Support Specialist to join our healthcare team. The ideal candidate will provide essential administrative and clerical support in a healthcare setting, ensuring that medical records and other critical documentation are accurately managed and processed. This role requires a strong understanding of medical terminology, proficiency in Microsoft applications, and the ability to work effectively with diverse organizations and personnel.Specific Responsibilities:Medical Records Management:
Review medical records using agency-specific work orders to ensure completeness and accuracy, including verifying that each sheet contains appropriate identifying information.Ensure the presence of examinee and provider signatures and verify that all components of the medical records are received and legible before forwarding to the Medical Records Technicians and reviewing Medical Officer (RMO).Maintain and utilize the medical records database for tracking missing medical information and use tracking systems to check off medical exam components for end-of-month reviews by Team Leads.
Administrative Support:
Provide administrative and clerical support to FOHS staff, including both federal and contractor employees.Maintain office files for assigned work and ensure that information is readily available for retrieval.Type a variety of memorandums, letters, reports, and other documents as requested, utilizing Microsoft applications and basic computer and website use.
Operational Coordination:
Coordinate moderately complex activities within the assigned team to ensure service delivery meets or exceeds client expectations.Communicate with Private Provider case coordinators and health unit staff to request missing medical documentation from medical exams.Operate a computer to process, store, and retrieve health information.
Support Services:
Coordinate and implement a broad range of duties vital to FOHS operations, including secretarial and reception tasks, clerical duties, office equipment management, conference and meeting planning, and travel support.Handle information and data processing tasks, including generating reports, mail distribution, photocopying, faxing, records management, and telecommunications management.Oversee day-to-day operations of the smoking cessation program, including organizing phone interviews, ordering and mailing supplies, acting as a resource contact for Occupational Health Clinics (OHCs), conducting phone interviews, and keeping handouts and related documents up to date.Track quit rate statistics and renew agreements annually.Assist OHCs in obtaining materials for education programs.
Qualifications
One (1) year of medical administrative support experience in a physician’s office, clinic, or other healthcare facility.Experience working with medical records and familiarity with medical terminology, science, and technology terms.Proven ability to interact effectively with various organizations representing diverse backgrounds, points of view, and levels of authority.Proficiency in Microsoft applications, basic computer and website use.Strong organizational and multitasking abilities, with attention to detail.Excellent communication skills, both written and verbal.Ability to handle sensitive information with discretion and professionalism.Experience in medical billing and coding tasks is a plus.Familiarity with eClinicalWorks software and knowledge of HIPAA regulations.Ability to provide excellent customer service to patients and visitors.Bilingual proficiency is advantageous.Additional Information

The final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographical market data.Benefits:
