Graduate Medical Education is seeking to hire a Program Coordinator in Child Psychiatry, Infectious Diseases, and Psychiatry Rural Track.

The GME Program Coordinator is responsible for supporting the operational management of the Child Psychiatry, Infectious Diseases Fellowship training programs as well as the Psychiatry rural training program. There will be a combined total of 15 house staff physicians in these 3 programs. In collaboration with Program Directors and reporting to the GME Institutional Manager, the position requires following the details of national accreditation policies and hospital policies. The GME Program Coordinator will assist with programmatic issues including recruiting trainees, administrative workflow, maintaining databases, and communicating with faculty and trainees regarding a range of issues.

This position is based at CUMC Bergan Mercy Hospital in Omaha, NE. We offer flexible scheduling after the initial orientation period.

Essential Functions & Responsibilities:

Support the Program Director and program faculty and staff to perform duties, including communication, scheduling, and correspondence with house staff, students, faculty from other departments, health care professionals who serve as clinician preceptors and others.

Responsible for general office duties including mail distribution, answering phones, ordering office supplies, taking notes, creating agendas, and compiling minutes for various meetings.

Schedule lectures, appointments, travel, and meetings.

Assist with operations including answering general program email and phone inquiries, data entry, greeting residents & resident rotators, and interview day operational logistics.

Projects and tasks that may require personal initiative, research, and critical thinking.

Assist in organizing and planning program activities such as graduation, orientation, and White Coat ceremonies.

Manage highly confidential house staff information.

Serve as the first point of contact and liaison for communication with the program.

Assist with orienting and giving logistical assistance to new learners in the department.

Organize and prepare data and reports for accreditation processes and current program and house staff evaluation processes.

Troubleshooting and problem solving when complex situations arise.

Ongoing professional and skill development to broaden understanding and education to maximize contributions to each respective program and the Creighton University School of Medicine - Omaha.

Some travel may be required for professional meetings.

Qualifications:

Associate degree or equivalent experience.

0-2 years' experience of office administrative experience, preferably in a healthcare and/or education setting.

Demonstrated strong organizational skills with attention to detail, ability to manage multitasking and high-level complex scheduling, action lists and timelines with high-level accuracy.

Exceptional interpersonal skills required.

Proficient in Microsoft Office products.

Ability to maintain confidentiality.

Organizational and Time Management Skills, Project Management skills/experience.

Ability to communicate effectively with people at all levels, self-starter.

Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment.
