Summary

This position is responsible for complex secretarial and clerical duties to support the Felony Trial Division of the Bexar County Public Defender's Office. Through this department the Bexar County Public Defender's Office provides legal representation to indigent arrested persons who are charged with a felony offense. Under the general supervision of the attorneys and administration staff with the office, the successful candidate will be responsible for general clerical duties, assisting in data collection and reporting, preparing complex reports, maintaining computerized files and maintaining employee records. The successful candidate will also be required to assist in the collection of data related to the felony trial division. The position will also require significant interaction with clients of the office, their families and other departments within the county. In that regard, a strong commitment to the mission of the Bexar County Public Defender's Office and excellent customer service skills are required.

Skill in using Microsoft Word, Excel and PowerPoint; ability to be trained on software specific to the mission of the Felony Trial Division.

Duties and Responsibilities

Directly assists with providing department services to other County employees and the general publicAssists with special projects using independent decision-making and judgmentMaintains statistics and develops complex reportsPrepares requisitions and purchase orders, verifies invoices and authorizes vendor payments Maintains and updates personnel records such as attendance and worker's compensationAssists with budget preparation and other related accounting functionsResponds to general and complex questions and complaints regarding department or work, may train administrative or clerical support personnelMay assist in office administration proceduresMay maintain supplies/fixed assetsMay perform general administrative/clerical tasks such as copying, answering telephones and updating/ maintaining filesMay open and distribute mail Performs related duties as requiredMinimum Qualifications

Graduation from High School or a General Education development (GED) certificate, and four (4) years administrative experience in an office environment; or equivalent combination of education and experienceSkill in using Microsoft Word, Excel and PowerPoint; ability to be trained on software specific to the mission of the department.Good knowledge of English spelling, grammar and punctuation; good knowledge of office procedures.Skill in performing basic mathematical calculations; skill in operating a personal computer, typewriter and basic office equipmentAbility to accurately enter data and file information; ability to communicate effectively verbally and in writing; ability to work independently; ability to establish and maintain effective working relationships with co-workers, County employees, and the general publicMust secure and maintain a favorable background investigation and clearanceMust secure and maintain a pre-employment physicalMay be required to work more than 40 hours during the workweekMay work remotely subject to approval by department headWorking Environment and Physical Demands:
