Job Summary:

The Administrative Specialist will serve as the face of Smurfit Westrock for customers and visitors to the facility. The Administrative Specialist will support the General Manager, Production Manager, HR Business Partner and other staff with administrative duties in a fast-paced and collaborative environment. In addition to substantial administrative duties, the Administrative Specialist generates reports, assists with onboarding and is a liaison to assist plant employees.

Major Job Responsibilities:

Business Excellence

Prepare and run monthly employee reports.

Perform other job duties as assigned, including project-related work to support various functions such as safety, quality, cost savings, continuous improvement, environmental, reliability, training, and data integrity.

Prioritize daily routines and be flexible to accommodate changing priorities.

Provides daily administrative support to human resources.

Assist GM and management team with general employee communications and monthly stand down meetings.

Assist General Manager with facilitating, scheduling and tracking Leadership Team initiatives and other Continues Improvement Teams progress.

People and Culture

Assist with customer visits and tours.

Schedule, coordinate and manage meetings/conference calls and related activities including all on-site meeting logistics.

Collaborate with department heads to resolve timing conflicts to ensure appropriate meeting attendance.

Experience:

Required: 5+ years of administrative support, customer service, sales support, HR and/or payroll experience, preferably in manufacturing environment

Technical Skills:

Microsoft Office - Excel, Word, PowerPoint, Outlook

Work Environment:

Constantly works indoors, in an environment that is climate controlled

Occasionally works indoors in an environment that is not climate controlled and has high temperatures

The role is frequently sedentary, which entails sitting or being stationary most of the time

Occasionally stands or walks for 1-2 hours at a time

Work in an office within the plant environment; noisy work environment, moderately climate- controlled environment, exposure to extreme hot or cold temperatures; exposure to machinery conditions of over 100\u2070F; maintain strict adherence to safety rules and regulations

Education:

Required: High School diploma or G.E.D. with equivalent experience

Preferred: Bachelor\u2019s degree or some post-secondary education
