Position Summary:

We are seeking a highly organized, proactive and experienced

Executive

Assistant

to support our Executive Vice President- Regional Market Leader in Short Hills, NJ. The ideal candidate will provide business, personal and office support to ensure the smooth and efficient operations of the executive’s office. This position requires a detail-oriented individual who is motivated, possesses exceptional communication skills, and can manage multiple tasks effectively in a fast-paced environment. This role will also provide exposure to various aspects of business operations and opportunities to contribute to the success of our region.

Responsibilities:

Business Support:

Manage the executive’s calendar, schedule meetings, and coordinate appointments.

Arrange and coordinate travel itineraries, accommodations, and logistics.

Prepare and submit expense reports accurately and in a timely manner.

Prepare and organize materials for meetings, including presentations, reports, and agendas.

Prepare and edit correspondence, communications, presentations, and other documents.

Order catering services and make reservations for business functions and meetings.

Conduct research, compile data, and prepare reports for consideration and presentation.

Coordinate and manage special projects and initiatives as assigned.

Serve as a liaison between the executive and other departments, clients, and external partners.

Answer and screen phone calls, directing them to the appropriate parties and handling messages.

Handle office tasks such as filing, managing FedEx and mail services, and maintaining records and documentation.

Personal Support:

Manage personal calendar, appointments, and social engagements.

Assist with travel arrangements, including booking flights, accommodations, and transportation.

Handle personal errands and manage household-related tasks, as needed.

Office Support:

Oversee the daily operations of the office.

Maintain office and breakroom supplies inventory, and place orders when necessary.

Coordinate with 3rd party vendors, corporate IT and building operations as needs arise.

Ensure the office environment is professional, organized, and efficient.

Greet and assist guests, ensuring a welcoming and professional environment.

Handle ad hoc requests as needed.

Required Skills/Abilities:

Proven experience as an executive assistant or in a similar role.

Highly organized, detail-oriented, and capable of handling sensitive and confidential information.

Excellent verbal and written communication skills.

Strong organizational and time-management abilities.

Ability to multitask, prioritize tasks effectively, and manage heavy workloads in a deadline-driven, fast-paced environment.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong problem-solving skills and attention to detail.

Ability to work independently and as part of a team.

High level of discretion, professional demeanor, integrity, and ethics.

Strong interpersonal skills and the ability to build relationships with stakeholders.

Ability to run errands and drive to project sites as needed.

Education and Experience:

Associate or bachelor’s degree preferred.

Minimum of 5 years of experience in an executive assistant role or similar.

Experience in supporting senior executives or high-level management.

Experience in managing both business and personal tasks for executives is a plus.

Demonstrated experience working in an office environment.

Real estate or financial services experience preferred.
