Purpose of RoleAs a key member of the Finance team, the Gifts & Grants Senior Accountant will be responsible for maintaining various accounting and financial aspects for grants and restricted gifts received from foundations and other donors. In addition to tracking gift and grant-related revenue and expenses, the Gifts & Grants Senior Accountant will also ensure compliance with all private foundation grants, and help create future processes around federal, state and local grants if the Foundation determines to enter into these grant agreements. This position will continue to evolve as the Foundation’s finances change.As the Gifts & Grants Senior Accountant, you’ll be reporting directly to the Accounting Manager.
Core Job ResponsibilitiesSet up program and grant codes in general ledger and other systems to track grant revenue and expenses. System should track all grants and restricted gifts revenues and expenses to ensure compliance with all grant requirements and maximization of awarded funds.Work with the Accounting Manager to identify grants with donor restrictions and ensure proper accounting/tracking/release of grant funds from restriction.Prepare periodic reports to funders and provide necessary documentation to request reimbursement.Prepare journal entries on a monthly basis to record grant and contribution revenue, grant-related personnel costs, and to allocate indirect costs to various grants/programs.Maintain access to various donor portals containing grant information and reporting requirements.Educate Program departments so that they are using program and grant codes and that all expenses associated with various grants are coded correctly upon submission for payment.Provide periodic updates on grant status to Accounting, Financial Planning & Budgeting (FP&A) and Development management.Prepare grant-related schedules and provide required information for the Foundation’s annual financial statement audit and Form 990.Work with the Foundation’s Development and Corporate & Foundations Relations (CFR) teams to identify grants, determine and document accounting considerations (revenue recognition) and classification (donor restrictions), and understand reporting and invoicing requirements of various funders.Work with Development, CFR and FP&A teams, along with program departments, to develop grant budgets prior to application/submission and monitor grant activity during the grant period from a finance perspective. Be a key participant in the review of all grant applications/proposals and agreements the Foundation enters into.Responsible for tracking and accounting for spend down on grants, providing monthly and quarterly reports to CFR and FP&A in preparing budget to actual reports on a monthly basis to track grant status.Share grant summaries with other members of the Finance Department to ensure understanding of grant requirements and ensure proper coding of revenue/expenses.In addition to receiving grants, the Foundation is also a grant maker. Assist program teams in the education and oversight of monitoring grant expenditures made by the Foundation to third parties. This includes assistance in the preparation of grant agreements with the program and Legal departments, and being involved in the regular review of financial reports provided from the grantees to the Foundation.Perform other duties as assigned.
Key Deliverables / OutcomesMonthly budget to actuals for grants and restricted gifts are completed by the 12th business day of each month.Within first six months, implement a system for tracking grants and restricted gifts and their related spend.Within first six months, set up monthly meetings and education sessions with other Program departments, becoming the main contact on the Finance team for all restricted gifts and grants.Within first year, work with the Accounting and the FP&A teams to streamline indirect cost allocations to restricted revenue.
Required QualificationsMinimum of five (5) years’ experience in gifts and grants accounting at large non-profit organizations, previous experience at a private foundation a plus.Experience with private foundation grants required, experience with the accounting around grant making a plus.Strong working knowledge of US GAAP, internal controls and financial reporting required; must have excellent math skills and attention to details.Understanding of accounting general ledger systems, previous experience with NetSuite a plus.Ability to work collaboratively with all departments and levels of the organization, while maintaining a high level of confidentiality.Ability to work independently with strong analytical and communication skills.Understanding and executing the various stages of the grant lifecycle, including pre-award review, grant progress monitoring, and award closure, preferred.
The salary range for this role is between $79,040 and $98,800.
