Associate Director of Museum Administration: Smith College Museum of Art

Smith College is accepting applications for an Associate Director of Museum Administration. As a key member of the Executive Team at SCMA, is responsible for supervising operations and ensuring sound financial planning and management across all departments of the museum. In addition, the Associate Director supports the Director and Chief Curator in efforts to ensure long-term financial stability, implements seamless operations, and enhances overall visitor experience. In the absence of the Director and Chief Curator, this position is charged with day-to-day leadership decisions; oversees a range of essential functions including accounting and finance, visitor services, security, retail operations, legal matters, and coordinating information technology systems and facilities operation and maintenance for a 59,000 square foot building.DUTIES AND RESPONSIBILITIES:Be a thought leader about organizational matters, overseeing and directing policies and procedures related to museum operations. Consult regularly with the Director and Chief Curator about long-term facilities issues, safety and security matters, including emergency preparedness, and visitor services.Direct and supervise the museum’s financial and budget activities in order to fund operations and increase efficiency; oversee short- and longer-term strategic financial planning; supervise all accounting functions; oversee and lead annual budgeting and planning process in conjunction with Director & Chief Curator and senior management. Assist with grant preparation and oversee grants administration.Provide leadership and oversight of the museum’s visitor services, security and retail operations; ensure the highest level of visitor enjoyment and safety; ensure compliance with best practices and adherence to standards for accessibility; ensure protection of museum collection (in coordination with collections manager/registrar); develop systems for attendance tracking, assessment, and data collection and analysis; oversee preparation of annual statistical reports; develop, coordinate, and execute policies and procedures affecting all areas of the Museum; formulate policies to ensure best practices, non-profit integrity and ethics in accordance with legal statutes and current standards of the field; supervise legal matters on behalf of the museum including negotiating and monitoring contracts. Act as primary point of contact with legal counsel.Manage the Manager of Security and Guest Services, the Museum Store Manager, and the Financial Coordinator and associated staff; oversee training of public-facing staff. Serve as staff liaison to Facilities Management and Information Technology Services; oversee identification and implementation of administrative technologies; coordinate maintenance of facilities and environmental standards. Develop agendas and coordinate activities for bi-weekly staff and Executive Committee meetings; manage decennial reaccreditation process, preparing self-study and coordinating with the American Alliance of Museums.MINIMUM QUALIFICATIONS:Education/Experience: Bachelor’s degree in Arts Administration, Business Administration, or a related field required plus a minimum of eight years in senior level administration and/or financial management required, with five years in non-profit management capacity preferred or an equivalent combination of education/experience. MBA preferred.Skills: Significant team-building and supervisory experience in non-profit environment; outstanding written and verbal communication skills; highest level presentation, negotiation, project management, and problem-solving skills required; excellent planning, financial management, and organizational skills; strong professional network; collaborative management style; demonstrated passion for the visual arts; strong work ethic and superior record of ethical service; proficiency in Microsoft Office; familiarity with Banner a plus.Physical Demands:Occasionally carry and lift up to 25 pounds.Smith College is an EO/AA/Vet/Disability Employer
