The Development Database Coordinator is a valuable member of the Development Team and liaison to other support departments of Italian Home for Children (IHC). The Database Coordinator's primary responsibilities include gift processing, building reports, ownership of the Bloomerang database, and administrative tasks for the Development Team. The position reports to the Director of Annual Giving and works closely with the VP of Agency Advancement.

This role is also the database expert on the Development Team, teaching others how to utilize the software to achieve goals. The Development Database Coordinator is an additional face of the agency and is specifically the face of financial transactions and must have excellent customer service skills. The Development Database Coordinator must maintain professionalism and convey going the extra mile with key stakeholders.

Responsibilities

Manage data entry, especially gift entry from all sources (checks, online, Fidelity Charitable, etc.), update donor information, and coordinate timely acknowledgment letters.

Handle all queries, reporting, list building, exports, and other aspects of the Bloomerang database.

Maintain and improve the overall integrity of the database update records, merge duplicates, enter new information provided by donors, prospects, and staff.

Periodically review and update donor information retained in the donor management database for accuracy and relevance, cleaning up as needed.

Ensure that all gift, contact, and donor background data is accurately and promptly entered into the database.

Coordinate agency in-kind gift tracking and acknowledgments.

Serve as a partner to the Finance Team providing in-kind donation details and reconciling transaction data on a monthly basis.

Collect and provide reporting of data required for monthly financial closings and annual audit.

Ensure all members of the Development Team and the CEO are supplying all relevant data and accurate information to the database.

Participate in trainings, utilize help guides, webinars, and videos from CRM to gain deeper knowledge, and serve as agency CRM expert.

Produce analyses, reports, and data sets with high frequency, including donor backgrounds and revenue results.

Produce periodic and special analytic and metric reporting as needed or requested by the Vice President of Agency Advancement, CEO, and Board of Directors for planning, oversight, and management of the development effort.

Conduct prospect and other donor research, including wealth screening.

Train staff on the use and procedures associated with Bloomerang database.

Attend and assist with planning fundraising events on occasional nights and weekends.

Work closely with Director of Annual Giving and the Vice President of Agency Advancement on the annual Gala, including entering donations, creating name tags, and managing the check-in and check-out processes.

Coordinate logistics for on-site events such as working with Facilities Department on room setup and technology requirements.

Respond to donor inquiries while conveying a professional manner along with a willingness to help; provide reliable, accurate, and timely responses to questions from internal and external stakeholders.

Maintain all office supplies and complete orders as needed.

Qualifications

Bachelor's Degree preferred.

1-3 years of work or relevant experience, including proficiency with Bloomerang, preferably in a nonprofit organization.

Proficiency with Microsoft Office required.

Ability to advance knowledge on CRM and build to a point of effectively training other staff on using a CRM, including in a group setting.

Ability to analyze and organize data efficiently with attention to detail and accuracy.

Ability to work independently and take initiative.

Excellent oral communication, interpersonal, and writing skills.

Ability to handle multiple tasks and projects simultaneously.

Commitment to confidentiality in all matters related to Italian Home for Children business, development, and fundraising practices.

Ability to function effectively in a small team environment.

Demonstrate sensitivity and appreciation for diverse viewpoints and different communication styles in a politically and culturally diverse workplace.

Flexible thinking and willingness to support other people and projects.

Exceptional time-management and commitment to organization.

Willing to work occasional evenings and weekends.

Familiarity with Donor Search is a plus.

Ability to lift and carry 25 lbs. (event supplies).
