The Administrative Operations Manager will provide comprehensive administrative support to the Operational Excellence leadership team and broader department. This role requires a detail-oriented and tech-savvy individual who can produce and manage executive operations reports, coordinate departmental programs and events, and handle various logistical responsibilities. The ideal candidate will demonstrate impeccable attention to detail, be able to solve problems quickly, and manage multiple priorities at once. This individual will contribute to the overall efficiency and effectiveness of the department.Responsibilities

Administrative Support:

Provide administrative support across the Operational Excellence leadership team, including proactively managing calendars, reserving conference rooms, and coordinating meetings.Report Production and Distribution:

Produce and package Executive Operations reports utilizing various technology platforms. Create, run, and distribute weekly operations reports to Operations leadership and Operational Excellence team members.Program Support:

Support logistics for major Operational Excellence programs including organizing meetings, arranging logistics, printing and binding meeting materials, ordering SWAG, preparing relevant communications.Presentation Support:

Consolidate, edit, and proofread PPT presentations and documents as needed.Meeting Support:

Develop agendas and associated materials for upcoming meetings. Take meeting minutes, track ball in court and due dates, and follow-up on action items as necessary.Travel Coordination & Expenses:

Oversee travel arrangements for the Operational Excellence leadership team, including travel logistics, local on-site coordination, calendar management, and expense reporting.Event Planning:

Plan department-wide events, offsites, and team-building activities. Coordinate and execute logistics associated with specific programming. Arrange the location, necessary equipment, agenda, and relevant information.Document Management:

Curate, organize, print, and bind project plans and other related materials across the regions as requested. Maintain and update team materials such as organization charts and job descriptions.General Knowledge:

Maintain working knowledge of relevant Suffolk policies and procedures and be prepared to provide information in this regard as required.Qualifications

Proven experience as an administrative assistant, executive assistant, project administrator, or in a similar administrative role.Preferred familiarity of A/E/C Industry and its terminology.Proficiency in internet applications and MS Office Suite (Outlook, Excel, Power Point, Word). Familiarity with Procore and Bluebeam preferred.Self-motivated with ability to work independently and as part of a team.Eagerness to learn operations processes and terms and contribute to the Operational Excellence group.Ability to interact with others at all levels of the organization in a fast-paced environment, maintaining flexibility under pressure.Strong initiative in completing tasks and meeting deadlines.Exceptional organizational and follow-up skills.Strong multitasking skills with the ability to prioritize tasks.Excellent written and verbal communication skills.High level of discretion and confidentiality.Strong attention to detail and accuracy.Willingness to learn and adapt to new responsibilities and challenges.Education and Experience:Associate or bachelor's degree preferred.Minimum of 4 years of experience in an administrative or executive assistant role, preferably in construction or a related industry.Salary Range:

$80,000-100,000Location:
