JOB DESCRIPTIONWe seek a confident, technically minded, experienced, and dynamic Vice President of Operations to join our Senior Leadership team at SmartVault. The VP of Operations will be responsible for the day-to-day operational activities of our SaaS business, including our CRM and integrated systems, billing system, and support for our marketing system as required.

This person will work autonomously daily, building close relationships with the Senior Leadership Team, specifically the Chief Revenue Officer, Vice President of Marketing, and Director of Customer Success, ensuring the operations function runs at the highest standard to support the needs of the company, ensuring efficiency, scalability, and profitability as it continues its rapid growth trajectory.

This role will report to the Group Director in the UK with business alignment to the President, SmartVault, and Senior Leadership Team with one direct report based in Houston.

RESPONSIBILITIES

Operational Management

Manage and optimize daily operations to ensure the highest levels of efficiency and productivity with clear and robust processes and support to the business. Ensure data quality is prioritized to drive clear & actionable insights.

Oversee the deployment and maintenance of internal business operations tech stack and services.

Ensure compliance with industry regulations and standards.

Analyze business data and metrics to gain an in-depth understanding of performance and areas for improvement.

Work closely with the local Senior Leadership Team to identify and communicate insights and action points. Work with the UK-based Insights team to identify and scope additional reporting requirements.

Foster a culture of continuous improvement, collaboration, and innovation.

Technology and Infrastructure

Ensure the company's Operational tech infrastructure is dependable, secure, and scalable.

Stay abreast of emerging technologies and trends to drive innovation.

Ownership of the Operations tech stack, including Salesforce CRM, Outreach, Ringlead, Kubaru, and Chargebee, and support for Pardot as required.

Demonstrate a commitment to continuously improving by identifying areas for greater operational efficiency and implementing process changes to better support business growth.

Scope and run any necessary projects, in collaboration with the wider business, to optimize the tech stack and associated processes.

Monitor key performance indicators (KPIs) to track and report on operational performance.

Strategic Leadership

Develop and implement operational strategies with Sales, Marketing, & Customer Success leadership that align with the wider business goals and objectives to ensure systems & process projects are identified, scoped, & implemented.

Build and maintain a strategic operations road map, looking at least 6 months ahead to ensure the highest impact projects and initiatives are prioritized.

Collaborate with the SmartVault Leadership to drive business growth and profitability.

Risk Management

Identify operational risks and develop mitigation strategies.

Ensure appropriate change management processes are in place and applied to all system changes.

Financial Management

Develop and manage the operations budget, ensuring cost-effectiveness and financial sustainability.

Identify and implement cost-saving initiatives without compromising service quality.

REQUIREMENTS

Bachelor’s degree or equivalent experience. MBA or equivalent advanced degree preferred.

10+ years of experience in operations management, with at least 5 years in a leadership role within a SaaS or Professional services company preferred.

Strong strategic and analytical thinking skills.

Excellent leadership and team management abilities.

Excellent communication and interpersonal skills.

Ability to thrive in a fast-paced, dynamic environment.

Extensive Salesforce experience as an administrator or system owner.

Experience building or maintaining an integrated tech stack with a CRM at the center.

Proven experience interacting with and influencing the Senior Leadership Team.

Outstanding attention to detail and a continuous improvement mindset.
