The Administrative Specialist, Facilities provides everyday operational support to multiple facilities and administrative needs across many of the company offices mainly in the Portland, Oregon office. The Administrative Specialist, Facilities plays a vital role in the offices assigned as a central point of contact for facilities and a supportive role in other offices. This position provides both on-the-ground coordination, as well as Facilities-related vendor relationship management.

What you’ll be doing for us:

Vendor Management

Provides management of relationships to vendors for facilities support and general office duties at multiple office locations:

Develops and maintain vendor relationships for assigned office(s); is a primary vendor contact for Comagine Health Facilities.

Implements and monitors general office environment maintenance and upkeep, including supplies ordering processes at multiple office sites.

Organizes and monitors Facilities projects, including but not limited to tenant improvement, construction, reorganization, relocation, and cleanout projects, with leadership support as needed.

Research, locate and contact vendors for new facilities and administrative tasks, as needed or instructed by leadership.

Administrative Services Support

Provide oversight of front desk/reception operations:

Ensuring visitor and vendor sign-in and maintenance of records for compliance.

Update the Administrative Services Intranet content and online forms.

Use of a multiple-line telephone system.

Perform daily routine mail duties and oversee and support mailroom functions:

Support other team members regarding duties relating to the mailroom and reception.

Facilities Support

Continually monitor and ensure that the local office space is orderly and neat in appearance; coordinate similar tasks across assigned office locations:

Perform the initial review of workspaces (office, cubicle) and coordinate employee moves, adds, and changes.

Update seating chart in the local office, as needed; coordinate maintenance of seating charts with local director(s).

Routinely inspect, supply, and maintain conference rooms; assist with preparing conference rooms for events.

Maintain the Safety boards on all floors of the Seattle office and ensure the regional offices have the required documents posted; coordinate maintenance of the Safety boards at other assigned Comagine Health locations.

Maintain active relationships with building management companies.

Respond to and assist staff with miscellaneous facilities requests.

As appropriate, communicate facility-related problems to the property management help desk.

Place orders for repair, maintenance, and other facilities services:

Place orders for approved acquisitions of furniture, office equipment, and other materials.

Store and retrieve unused furniture, equipment, and other material and arrange for proper disposal of surplus inventory.

As directed, program and/or adjust employee building security access.

Assist with regional office facility requests as directed by the leadership.

Assist with tasks relating to tenant improvement projects, new regional office start-ups, and office closures.

Assist in the coordination of off-site storage record requests.

Required Skills

What would make you a strong fit for our role:

Intermediate proficiency with MS Office Suite.

Required Education and Experience:

AA/AS in a related field; equivalent combination of education and/or work experience in related field may be substituted.

3 years of general administrative, facilities, and/or other related support work experience required.

2 years vendor management activities, including relationship management.

Intermediate proficiency with MS Office Suite.
