Senior Grant Funds Coordinator (Project Funds & Agreements Coordinator, Senior)

within our Finance and Administration Division. This key team member will provide complex Federal and State grants administration for SDOT, including grants reporting, tracking, communication, budget management, grant process improvements, and training. Additionally, this role will support data reporting, policy, process, and system improvements leveraging technological solutions. The position involves working across the entire organization and collaborating with staff from other departments within the City. Come help keep Seattle moving!Provides quarterly, semi-annual, or annual grant reports to state and federal agencies, including Washington State Department of Transportation (WSDOT), Puget Sound Regional Council (PSRC), Freight Mobility Strategic Investment Board (FMSIB), Federal Transit Administration (FTA), Federal Highway Administration (FHWA), Federal Railroad Administration (FRA), and U.S. Department of Transportation (USDOT).Serves as the point of contact for SDOT and leads the grant-technical communications (such as grant expenditure and billing status, grant obligation Q&As, changes to the grant-funded project name, schedule, scope, or costs, etc.) with our grantors.Leads SDOT’s quarterly grants check-in with WSDOT and provides comprehensive updates on all WSDOT and FHWA grant-funded projects.Responds to urgent requests for information from state and federal granting agencies on project progress, grant spending, and grant obligation timelines.Prepares grant acceptance and grant-funded budget appropriation requests through annual or supplemental budget cycles.Collaborates with the City Budget Office (CBO) and Citywide Accounting to set up the grant funding sources. Takes corrective actions for the identified grant budget coding issues.Drafts stand-alone legislation (Ordinance and Fiscal Note) for urgent grant acceptance and appropriation requests to the Seattle City Council.Monitors grant budgets versus actual expenditures every month. Explains budget versus expenditure issues during monthly internal grant check-ins and quarterly financial monitoring check-ins.Develops obligation packages for executing the grant agreements with our grantors.Supports department goals in promoting diversity and social justice in keeping with the City’s Race and Social Justice Initiative.Minimum Qualifications:Education:Bachelor's Degree in business or public administration, finance, economics, or related field.Experience:Three (3) years of professional experience in financial analysis, project management, grant administration, inter-agency agreements, or contract administration.OR:

An equivalent combination of education and experience that demonstrates the ability to perform the position duties.Though not requirements, strong candidates will have some of the following experience or are able to describe comparable experience:Strong communication and coordination skills. Demonstrated ability to analyze, present, and communicate information clearly at all levels.Strong critical thinking skills, with attention to detail and the ability to actively manage multiple processes.Strong customer service skills.Proficiency in the Microsoft Office suite, emphasizing Excel, Word, and PowerPoint.Ability to work within SDOT’s Workplace Expectations, including our values of Safety, Respect, Diversity, Trust, Productivity, Integrity, Innovation, Partnership, and Accountability.Ability to effectively work in a multi-cultural workplace with a diverse customer base.Other Requirements:Work Environment / Physical Demands:Work is typically performed in a hybrid work environment in which a minimum of 3 days of the work is completed in a City office, and 2 days of the work is completed remotely in a regular 40-hour work week.Your application will not be reviewed if these items are missing or incomplete.Hiring ProcessApplications are reviewed after the posting closes.
