Summary of Job Duties:

Summary:

The Administrative Specialist III is responsible for performing administrative duties including human resources, finance and general office management.

Job Duties:

Performs administrative duties for the department.

Answers phone calls for assigned faculty and staff, directing calls and responding to inquiries and requests for information. Processes incoming and outgoing mail. Handles routine correspondence. Maintains up to date mailing list and program files.

Maintains familiarity with UADA policies and procedures. Maintains understanding of Workday processes. Attends required meetings and training sessions to keep up to date on policy and procedures for UADA.

Assists department head or associate department head with hiring processes such as position descriptions, job requisitions, and new employee onboarding.

Assists supervisor and department faculty and staff with plans and arrangements for upcoming meetings, seminars, and training and with the preparation of documents or materials that may be needed. Arranges for meeting facilities, transportation, lodging, catering, and/or meals.

Reponsible for gathering data and creating various documents for end of year reporting and evaluations.

Gathers appropriate paperwork and documentation for internal grants for assigned specialist.

Maintains departmental budget and account balances for grants and other funding sources.

Completes all steps of the procurement process, from requesting bids or locating necessary items to completing purchase requisitions in Workday

Provides required documentation to expedite payments and reimbursements.

Maintains inventory control of equipment for department. Orders and maintains sufficient stock of office supplies for department.

Responsible for completing spend authorizations and assisting with travel arrangements such as registration, lodging, transportation, etc., for faculty and staff.

Prepares and completes expense reports for assigned faculty and staff.

Distributes daily assignments and instructions as needed to support staff or volunteers to ensure deadlines are met.

Timekeeper for self and temporary/part time employees.

Responsible for keeping updated calendar for Department/Supervisor.

Processes state vehicle logs in Fleet Commander Software and completes fuel card expense reports.

Maintains professional appearance and attitude.

Approve Workday entries for department.

Other duties as assigned.

Qualifications:

Minimum Qualifications

The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed.
