Job Description
PCG
is seeking an experienced
Event Planner
for its operations based in
Lenexa, Kansas
. This individual will:
Responsibilities:
Executethe planning and coordination of events, including workshops, seminars, conferences, and corporate functions.
Support eventlogisticssuch as venueselection, catering, transportation, and audiovisual equipment.
Navigating budgets and making decisions to stay within the budget while avoiding compromising the quality of the event.
Create and distribute event invitations, marketing materials, and promotional content.
Manage event registrations, RSVPs, and attendee communications to ensuretimelyandaccurateinformation distribution.
Liaise with vendors, suppliers, and contractors to ensure all event needs are met and contractual obligations are fulfilled.
Collaborate with clients to understand their vision, preferences, andobjectivesfor each event.
Work closely with internal teams, including marketing, design, andlogistics, to ensure alignment with event goals and company standards.
Assistwith on-site event setup, registration, and breakdown, ensuring all elements are in place and functioning smoothly.
Provide excellent customer service to event attendees, addressing any issues or concerns promptly and professionally.
Coordinate eventlogistics, including but not limitedto:pre-planning, registration and attendee tracking, event layout/maps,transportation, catering, audiovisual equipment, timelines, vendor negotiation, vendor management and post-event evaluations and recaps.
Communicate and coordinate withoperations and other team members onevent details and needs –logistics, agenda, signage, etc.
Travel to various locations to scout out locations for events as well as travel to the events for onsite support and troubleshooting.
Conduct post-event evaluationsto assess success and gather feedback for continuous improvement.
Requirements
Basic Requirements:
3-5 years of experience planning,managingand executing large-scale events involve C-Suite level attendees
Experience managing a budget and staying within parameters given by Leadership
Strong written and verbal communication skills, with the ability to interact professionally with clients, vendors, and team members
Excellent organizational and multitasking skills
Keen attention to detail
Proficiencyin Microsoft Office Suite (Word, Excel, Outlook)
Creative thinking and problem-solving abilities to manage unexpected challenges during events
Ability to adapt to changing priorities and work under pressure
Must have a schedule that will allow for non-traditional working hours: including weekends, before and after traditional office hours as needed
Must be willing to travel around 10-12 weeksannually
Experience partnering with different vendors and managing contractual negotiations (EX: Hotels that are hosting our events)
Must have a creative eye when it comes to décor, event floor layout, etc.
Operates exceptionally in afast-pacedenvironment
Preferred Requirements:
Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field is a plus
Experience using event management software (Smart Sheets, Microsoft Forms, etc.) is a plus
Local to the Kansas City Metro area
Holds relevant certifications such as CMP (Certified Meeting Planner) and/or PMP (Preferred Meeting Planner) preferred
