It is responsible for a number of support functions to make our agency as efficient, effective, and impactful as possible. Administrative Solutions comprises Human Resources; Facilities Management; Audit; Business Innovation, Technology & Security; Emergency Management; Legal; Performance Management; Communications; Project Management; and Leadership & Organizational Development.Business Innovation, Technology and SecurityBusiness Innovation, Technology, and Security (CBMS) is responsible for managing the Department’s information technology (IT) providers, including relations with the Governor’s Office of Information Technology (OIT) and other agencies. The division serves as the main point of contact for departmental issues involving technology resources and needs and coordinates activities with the program staff for IT support, operations, maintenance, modernization, and implementation of new IT systems.Description Of JobHybrid Work ArrangementsPlease note: These working arrangements are subject to change.About This PositionThis position provides high-level administrative and technical support which involves assisting the CBMS Product Director and CBMS team at CDHS, as well as internal and external customers by applying knowledge of and/or interpreting basic principles, rules, regulations, policies, precedents, other guidelines and objectives specific to CBMS program to resolve problems, answer questions and provide information, and/or advise others on technical program issues or matters for the CBMS. This includes planning and organizing various meetings for staff, compiling data, and preparing management reports. The position is responsible for identifying office problems or areas that need strengthening and the development of action plans to correct issues identified. This position provides support to all units reporting to the Program Director, including customer service issues, technical support, and improving relations with state employees.Summary Of Job DutiesProduct Owner SupportWorks independently on a variety of functions and tasks for the Division Director on a daily basis. Executes a broad range of high-level office, administrative, and technical support to the CBMS Director.Office Coordinator and Program SupportProvides a broad range of administrative, clerical, and technical operations support to the CBMS Director and the CBMS Team.Budget/ Travel ManagerManages in-state and out-of-state travel requests for Director, and Managers as needed.Other Duties As Assigned.Minimum Qualifications, Substitutions, Conditions of Employment & Appeal RightsOption 1 (Minimum Qualifications)Five (5) years of experience in office administrative duties related to the work assigned to the position.Option 2 (Substitutions)Appropriate education will substitute for the required experience on a year-for-year basis.Conditions Of EmploymentStandard Background – Name check, TRAILS, CMS and JBITS.Travel – Travels to CDHS sites and other locations as needed in support of Division activities.Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position.Preferred Qualifications:Professional work experience in support of a professional staff.Strong customer service skills.Ability to effectively communicate both orally and in writing.Strong organizational and evaluation skills, with keen attention to detail.Strong interpersonal skills.Strong project management skills.Self-motivated.Ability to multi-task and identify systematic approaches to solving problems.Strong critical thinking skills.Ability to demonstrate sensitivity and appreciation for diverse viewpoints as well as different communication and work styles.Ability to identify and creatively resolve issues while exercising appropriate judgment.Ability to establish and maintain effective working relationships with all partners.Ability to analyze data and provide recommendations.Ability to work well independently as well as in/with a team.Proficiency in Microsoft Office Suite, Google apps, JIRA, Smartsheet, others.Appeal RightsIf you receive notice that you have been eliminated from consideration for this position, you may file an appeal with the State Personnel Board or request a review by the State Personnel Director.An appeal or review must be submitted on the official appeal form, signed by you or your representative.
