Position Overview:

Effectively and efficiently performs all clerical and administrative support duties as assigned in a timely and professional manner to ensure the division functions optimally. These responsibilities may include one or all of the categories of duties identified below, and some may change with short notice due to business needs and constraints.

General Responsibilities and Duties:

(Including but not limited to)Execute and/or participate in all Sales Administration functions for the Division as delegated by the Marketing Manager and V.P. of Sales and Marketing.Uphold a high level of organization.Represent Ashton Woods in a professional manner and be knowledgeable of all Ashton Woods Communities.Act as a liaison between division initiatives and neighborhood level functions.Demonstrate an understanding and excitement regarding Ashton Woods' outlook. This includes the opportunity to be a part of a team that is building a strong foundation of values and culture, and the ambition to grow the company into greatness.Main Administrative Tasks:

Assist in scheduling interviews and candidate relationsBuild Team Moral by way of relationshipsSend monthly Survey email reminder to all who have closed the month priorParticipant in the tracking of Compensation and Contest/Reward programsGrand Opening set up (Sales Center set-up/Installs/Trash service/Pitch Pad Pricing/Signage/WED's/OSD locations identified/supplies/Community start-up sheet/Final plat to Marketing with Model, Parking, Mailbox Kiosk marked)Accord Presentation - Assist CSM and team with Accord for Grand OpeningManage Neighborhood level Marketing/FMLS Listings/GA MLS Listings/Flyer ordersUpdate website contentManage/update marketing collateral orders for salesParticipate in Weekly Lender Backlog MeetingsMonitor Sales reports and updates throughout weekAssist with Sunday evening weekly roll up of results to CorporateAssist with Sunday evening weekly roll up of Bell to Division/accounting/AW Title.Monitor/submit/approve all invoices for FMLS, MLS and Neighborhood invoice needs.Monitor sales and marketing expenses for neighborhoodUpdating Additional payments in DB and attaching to the correct offer in DBInputting lot premiums in DBUpdate Base Pricing weeklyAssist with Non - BTB Investor sales/contracts/HOO/Closings within the DivisionOther responsibilities as assigned by the V.P. of Sales, Division Leadership and Sales Managers.Qualifications and Skills:

HS diploma or GED requiredUndergraduate degree preferred, or commensurate experience3-5+ years of office admin experienceMust be able to travel to local municipalities to fulfill job dutiesMust have a reliable source of transportationProficient with use of Computers including Microsoft OfficeSelf-motivated and upbeat individual with strong work ethic, time-management, and organizational skillsMaintains a professional appearance as a representative of Ashton Woods HomesStrong written and verbal communication skills
