Mid-Level Office Administrator

to join our dynamic team in

El Segundo, CA.Position Responsibilities:Supports Phantom Works Space Intelligence & Weapons Systems (SIWS) Executive Program Director by efficiently managing internal and external customer interfaces.Prioritizes and coordinates the day-to-day internal office schedules and reconciles schedule conflicts for efficient use of time.Allocates, tracks and maintains designated conference room schedules and availability to utilize resources efficiently.Coordinates and processes travel arrangements, monitors designated business traveler’s logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate payment.Coordinates with the appropriate focal(s) to help acquire, order, and maintain office supplies and other resources.Verbally communicates a wide variety of information to multiple audiences.Coordinates incoming and outgoing information to support proper organization communications and executive calendar coordination.Creates, edits, and maintains electronic and written communication requiring Word, PowerPoint, Excel, Outlook, and SharePoint knowledge.Coordinates with visitors on logistics and resources for meetings including executives or other Boeing visitors, interview candidates, suppliers and vendors.Leads and partners with other administrative support.Knowledge of Boeing's organizations, processes, program plans, policies and procedures, and products required to effectively perform functional responsibilities of the occupation.Knowledge of techniques to help identify customers' organizations, capabilities, practices, preferences, and constraints to provide effective support and issue resolution.Skill and ability to work with sensitive information, safeguarding confidential information and working with it dispassionately.Ability to operate relevant personal computing hardware (e.g., personal computers, software, printers, and storage media) and standard software (e.g., word processing, graphics packages, spreadsheets/databases).Refers to practices and procedures for guidance.Requires no instruction for routine work and general instructions for new lines of work or special assignments; supervision is limited.Plans, schedules, and arranges own activities. Work is reviewed upon completion for adequacy in meeting objectives.This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options.This position requires the ability to obtain a U.S. Security Clearance for which the U.S. Government requires U.S. Citizenship. An interim and/or final U.S. Top Secret Clearance Post-Start is required.Basic Qualifications (Required Skills/Experience):High School Diploma or General Education Diploma (GED)Experience providing administrative support to multiple customers such as executives, managers, and staff membersExperience using Microsoft Office Products like Outlook, PowerPoint, Excel, and WordExperience with organizing and facilitating WebEx meetings (or similar online meeting tools)Preferred Qualifications (Desired Skills/Experience):Experience in partnering with executives to develop and manage the operating rhythm/cadence for executive leadership teamsExperience coordinating and processing domestic and international travel arrangements, generating expenses reports and reconciling corporate credit card chargesExperience managing and organizing multiple deliverables and deadlines with minimal directionAn Associates’ degree or higherA team player, able to work in a collaborative environmentTypical Education & Experience:Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 4 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years' related work, Bachelor, etc.).Relocation:Relocation assistance is not a negotiable benefit for this position.
