Our Client Care Specialist are an integral part of the hospital. Client Care Specialists are responsible for a variety of tasks related to customer service and patient care within the veterinary practice. Tasks include scheduling appointments for existing clients and preparing new clients for consults, animal handling, record management, presenting financial options and estimates, accurately reviewing service charges and entering into the client processing database, extensive client interaction, and preparing clients for their next appointment.Our Ideal Candidate:Experience Veterinary Client Care Specialist Supervisor preferredExperience in Oncology is a plusTeam player and willingness to cross train in all areasPositive attitudeEssential Functions:At all times adheres to the Mission and Core Values of Veterinary Cancer GroupFollows Supervisor Handbook policies, protocols, and proceduresAll functions associated with Senior Client Care Specialist job description as well as the following:Direct the day-to-day activities of the Client Care Specialist staff through leading by exampleManage Doctor Schedules for your facilityManage Employee SchedulesManage Accounts Receivable for your officeManage the referring veterinarian databasePatient Records Management- from new files to purge filesCreate a stimulating and motivating environment for fellow staff membersAssist the Executive Management Team in keeping the CCS Manual up to dateFollow new hire training protocols with any new hire, establishing a positive and lead by example relationship with your inexperienced staff membersReview and explain training materials to staff members on an ongoing basisSet goals for and with each CCS and oversee timelinesPresent job descriptions for front office staff and provide training tools so goals may be accomplishedDelegate appropriate tasks to team members, then hold them accountableProvide positive and corrective reinforcement to change inappropriate or negative behaviorsAnticipate future needs based on trends affecting the front desk and prepare for themKeep practice manager or acting practice manager informed on issues related to the front officeCommunicate ways to improve client/patient satisfactionKeep accurate records on front office staff so that job performance can be accurately evaluatedPerform 90 day (about 3 months), annual and as needed performance reviews of staffEnsure that all doctor letters go out throughout the day in a timely fashionEnsure that doctor communications including laboratory results are completed in a timely fashionAssist with annual budget for staffing needsOrder office supplies/postagePerform other duties as assignedUse your executive management team for assistance and support in achieving excellenceSupervisory Responsibilities:This position does have supervisory responsibilities. Provides guidance, assistance, and training to employees and is responsible for providing direction and the evaluation of staff.
