JOB SUMMARY:

The Sleep Center Clinical Operations Manager supervises the administrative, registration and billing resources of the CT Center for Sleep Medicine. The Sleep Center Clinical Operations Manager will promote and oversee the departmental implementation of all hospital policies, regulations, goals, and initiatives. The Sleep Center Clinical Operations Manager is responsible for assigned employees and oversees the daily/nightly operations, programs, and activities consistent with Department Leadership’s direction of the Sleep Center in respect to business development, operational management, and financial oversight. Collaborates with SH and SHMG medical direction, coordination, planning, implementation, and completion of business development projects. Supports staffing initiatives and accreditation standards and provides support of patient care as appropriate. This individual will serve as a departmental resource for departmental policy development and departmental/hospital rules/regulations interpretation.

Operations/Staff Management:

Manages staff, which includes the Sleep Center front office reception area, coordinator, and medical assistants. Specifically, the Sleep Center Clinical Operations Manager will manage all patient facing activities (i.e. phones, service scheduling, and appointments for patients, registration, and implementation of clerical tasks) and ensure that these services are provided in a competent, friendly, prompt, courteous, and compassionate manner.

Oversees daily work and schedules and operations consistent with departmental goals and modifies workflow and staffing allocation according to practice needs within budgetary guidelines.

Manages payroll for all departmental employees.

Responsible for performance evaluations and participation in the recruitment and selection of all administrative personnel and technologists. Interviews, evaluates and if necessary, disciplines staff.

Establishes practice/department goals through creation, planning, and project analysis that support strategic planning.

Manages programs to ensure objectives are met to accomplish department/service line goals.

Manages practice operations to ensure area meets or exceeds the expectations of internal and external stakeholders (Hospital & SHMG practices).

Responsible for management and monitoring of patient flow.

Liaison between sleep center, testing vendor, home care company, DME vendors and pharmaceutical rep.

Collaborates with the Medical Director of the Sleep Center.

Provides oversight of the physician schedule.

Provides administrative and clinical support to staff as needed for coverage purposes.

Fiscal/Data Management:

Oversees the financial management for Sleep Center including SHMG criteria for professional billing and hospital billing and reimbursement. Manages accuracy of charges.

Supports department budget policies and goals.

Presents regular quantitative reports (i.e. Tableau, Excel, other applicable reports).

Monitors and proposes changes to medical and administrative leadership to increase patient safety and satisfaction.

Equipment/Supplies/Facilities Management:

Ensures all equipment is serviced and to department standards. Works with hospital BioMed and vendors to ensure functionality of clinical equipment in Sleep Center. Has working knowledge of all equipment within clinical area.

Ensures the Sleep Center facilities are maintained and in good working order. Escalates issues to appropriate department for resolution.

Supervise all requisitions for all office functions; including supplies, hardware, or any purchases needed for the sleep center.

Education and guidance of MAs in PAP mask applications, PAP desensitization, Mask Fittings.

Regulatory/Compliance Management:

Maintains operations by ensuring compliance with all appropriate internal policies and procedures and external regulatory and accrediting agencies.

Ensures that department policies and procedures are current and supports current practices.

Is responsible for the ongoing assessment, monitoring and creation of action plans to address all regulatory issues including American Academy of Sleep Medicine (and other regulatory agencies).

Completes required continuous training and education, including department specific requirements. Maintains licensure.

Program Development:

Presents as content expert when performing in services or wellness events.

Has extensive knowledge of clinical diagnosis, testing, downloads, and therapy.

Facilitates program growth and efficiency (i.e. Inspire, Ambulatory EEG, etc.)

Performs other related duties as assigned or requested in order to maintain a high level of service.

QUALIFICATIONS/REQUIREMENTS:

Required Education/Experience:

Registered Polysomnographer, Registered Respiratory Therapist or Nurse with 5-10 years of supervisory or practice management experience in a hospital environment.

Preferred Education/Experience:

Bachelors/Master’s degree.

Required Skills:

Exhibits a high degree of responsibility in confidential matters. Understands HIPAA and confidentiality and has a working knowledge of JCAHO.

Knowledge of office record keeping and workflow processing.

Ability to work independently and balance multiple priorities.

Must understand financial management and schedule management.

Excellent organization, problem solving, negotiation, customer service, verbal, listening and written communication skills.

Strong interpersonal skills. Must have the ability to communicate with patients and all layers of staff, physicians, and leadership.

Proficient in Microsoft Word, Excel and Outlook. Knowledge of Database software.
