Salary: $75,000 - $110,000 per year

Job Details

Responsibilities:

Assist in drafting various real estate documents, including deeds, leases, purchase and sale agreements, declarations, easements, and development agreements.

Help prepare documents related to operating and shell entities, such as partnership agreements, shareholder agreements, and membership agreements.

Manage the archival of historical versions of transaction documents throughout the negotiation and review process.

Ensure the correct versions of documents are used and advanced at each step of the transaction process until execution.

Facilitate the formation of legal entities, including LLCs, corporations, and limited partnerships, ensuring compliance with legal requirements.

Access and retrieve documents from recorder and court record offices.

Manage the filing of documents related to real estate transfers and tax appeals.

Oversee the production and delivery of documents, corporate resolutions, certificates, and other materials necessary to close transactions.

Coordinate with attorneys, clients, and other stakeholders to gather information and documents.

Schedule and confirm appointments, manage calendars, and ensure all parties are informed of upcoming commitments and responsibilities.

Prepare and distribute correspondence, memos, and forms.

Manage closing and project checklists.

Maintain and organize physical and digital files for easy access and retrieval.

Ensure confidentiality and secure handling of sensitive information.

Qualifications:

At least 5 years of experience supporting attorneys in complex transactional real estate.

Proficiency in title matters, including title abstract and property survey review.

Paralegal Certificate preferred.

Strong attention to detail in all work.

Ability to manage multiple files and prioritize workloads to meet all deadlines effectively.

Excellent oral and written communication skills, with the ability to interact professionally with all levels of management, staff, and clients.

Strong research skills and the ability to navigate public record systems.

Ability to independently solve problems and exercise sound judgment with minimal direction.

Proficiency in legal software and Microsoft Office Suite.

Experience with iManage and Prolaw is a plus.
