Responsibilities*
IRWG Event Planning
Manage and plan yearly programming calendar for IRWG.
Provide oversight for all aspects of events, including coordinating speakers, venues, A/V, catering, travel & hosting, event staffing, writing introductory remarks, etc, assigning work as necessary to other teammates
Manage and track all programming/event logistics and data for annual reports
Update and monitor program and event budgets, ensure the accurate accounting of expenditures
Review event cosponsorship requests from other units
Run all logistics for events, including set-up, clean-up, and A/V support
Collaborate with other units and cosponsors on joint events, providing publicity, administrative, and in-person support as needed.
IRWG Exhibit Space / Art Collections Management
Supervise IRWG Graduate Fellow for Exhibits, overseeing 2 Lane Hall exhibits per year
Provide one-on-one meetings and mentorship
Train graduate student on processes for installing and promoting fall and winter exhibits
Oversee budget and request cosponsorship or grants as needed
Provide oversight on related programming (receptions, artist talks, class visits), publicity efforts, and Calls for Nominations for future exhibits
Supervise / advise IRWG Feminist Art Collections graduate fellow
IRWG Communications
Inform unit faculty, staff, affiliates, and the general public about IRWG's work and impact through publications and mass communication.
Write, design, edit, and produce monthly email newsletters
Create and publish website stories, and social media content for IRWG and subsidiary initiatives
Oversee IRWG Website:
-Work with vendors and IT specialists to maintain website functionality and security
-Update website content to ensure it is accurate and current.
Publicize IRWG events, including designing poster/graphics, email announcements, and website event postings
Publicize IRWG funding opportunities (internal grants), including RFPs and award announcements
Write press releases and pitch stories to Michigan News and the University Record.
Maintain IRWG's email subscription service (Mailchimp), including managing subscribers and lists
Develop and execute communications plans for special projects (e.g. job postings, anniversaries)
Oversee multimedia content creation and decision making (e.g. photography, video)
Design and produce promotional materials as needed (brochures, one-pagers)
Order swag as needed
Develop an overarching strategic plan for the institute's communications that includes key audiences, messaging, and tactics
Maintain physical archive of publicity materials
Maintain digital files of photos, logos and marketing assets
Represent IRWG at OVPR Communicators group meetings when possible
Establish and maintain IRWG Brand Standards in alignment with U-M Brand Standards
Maintain IRWG YouTube channel (manage users, upload and share video content)
Other IRWG Special Projects
Serve as Lane Hall AED Coordinator
-Inspect the Lane Hall AED each month to ensure it's operational and supplies are in tact
-Coordinate trainings with Lane Hall staff and AED vendor as needed
Coordinate national group of Gender Research Institute Directors (in collaboration with IRWG director)
Manage IRWG archives and send materials to the Bentley Library as needed
Work with other IRWG staff on maintaining digital file management system (Google Drive and Dropbox)
Functional supervision of work study students
Required Qualifications*
Bachelor's degree or equivalent combination of education and previous work experience.
Knowledge of University policies and procedures.
Independent work habits with the ability to execute multiple projects simultaneously
Experience with coordinating events and conference planning.
Proficiency with Microsoft Word, Excel and graphic design software (e.g. Canva)
Excellent project management skills with 2 to 4 years of related experience.
Excellent writing, editing and verbal communication skills.
Excellent interpersonal and organizational skills, with an ability to attend to detail.
Ability to work as part of a team.
Ability to attend some evening and weekend events
Modes of Work
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.
