Job Description
ESSENTIAL DUTIES:
1. Assists in the assessment and acquisition of products by placing orders with vendors as necessary.1.1. Researches supplies by consulting vendors and/or supply catalogs for product information.1.2. Obtains prices, quotes, and other product information1.3. Places daily orders of needed supplies and equipment.2. Assists with the purchase and inventory of forms and office supplies for the clinic.2.1. Assists with forms (file containing description and use of all forms).2.2. Communicates with user departments.2.3. Reorders forms and office supplies as needed.3. Performs clerical duties of Materials Management Department.3.1. Types all correspondence accurately and on timely basis and processes accordingly.3.2. Accurately enters issues, purchase orders, and other records on a timely basis.3.3. Verifies all purchase order for authorization of invoice payment.3.4. Separates and distributes copies to proper departments.3.5. Researches and properly documents invoice discrepancies.3.6. Expedites purchase orders.4. Assists with research of product recall.4.1. Notifies any department manager involved promptly.4.2. Inspects stock in storeroom and on the par levels for any products listed on the recall.4.3. Removes recalled products to isolated area away from non-recall products.5. Utilizes all contracts, GPO's (Group Purchasing Organization)5.1. Verifies all orders are accurate to the contract and or GPO.5.2. Contacts vendor of contract and GPO and Manager of any issues.5.3. Informs Manager of any items not under contract or GPO to be converted.5.4. Works with departments to convert or purchase items under contract and or GPO.6. Acts as a receptionist for visitors and sales representatives.6.1. Sets up appointments and meetings as assigned by the Manager6.2. Greets visitors and sales representatives in a pleasant manner.6.3. Answers telephone promptly in a professional and pleasant manner.6.4. Takes accurate messages and relays them promptly to the appropriate person.7. Performs other duties as assigned by the Materials Management Manager or Director.
7.1. Conducts other duties in the department with team spirit and in the interest of improving the service of the entire clinic.7.2. Assists other departments within the clinic as needed in a positive and cooperative manner

QUALIFICATIONS:Education:1. High school diploma or GED
Experience:1. Previous experience in the medical field is preferred, but not required.2. Purchasing experience consisting of buying, receiving, stocking, and inventory control preferred.3. Basic knowledge of the use and operation of general office equipment (computer, phone, copier, fax)4. Working with the public in a courteous and professional manner.
Skills:1. Ability to maintain a positive attitude and provide great customer service under stressful situations.2. Ability to communicate in a clear, concise, and pleasant manner in both verbal and written form.3. Ability to multi-task.4. Ability to adapt quickly to change.5. Ability to work both independently and with co-workers.6. Ability to use and manage time efficiently.7. Ability to follow the direction of supervisory personnel.
