M & J Wilkow is seeking a Retail Coordinator to provide administrative support to the growing Retail Management portfolio. The position is based in the Company's Corporate Office located downtown Chicago and is full time in-person.**Responsibilities include:*** Maintains tenant, vendor and property files, including insurance certificates, lease abstracts, etc. in accordance with prescribed standards.* Manage the departments certificates of insurance, contacting tenants and vendors to obtain updated certificates as needed* Maintains master shopping center tenant and vendor contact lists; responsible for seeing through site plan revisions.* Administers accounts payable and accounts receivable; may initiate rent collections correspondence and phone contact with tenants where permitted.* Compiles sales reports.* Codes invoices, inputs into the invoice processing system for payment.* Assists with preparations of monthly and quarterly management reports.* Prepares documents (i.e. service contracts, amendments, and leases) for execution by ensuring proper signature blocks are recorded.* Performs a variety of administrative tasks for assigned staff including, but not limited to phone support, draft, preparation and distribution of correspondence, expense reporting, calendar scheduling and meeting coordination, filing, and copying, etc.* Assist with special projects related to acquisition of new properties and transferring sold properties, and other duties as assigned.**QUALIFICATIONS INCLUDE:*** Experience & proficiency with Windows, MS Office programs, including advanced skills in Excel, Word and PowerPoint, and property management software, including Avid and MRI* Minimum of 3 years administrative experience, ideally in commercial real estate* Requires basic knowledge of financial terms and principles.* Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.* Ability to work under pressure, manage workload, and meet deadlines consistently; exceptional attention to detail and highly organized* Local candidates only, please.
