Senior Executive Assistant to General Partner at Early-stage Venture Firm

Well-known venture capital firm is looking for an Executive Assistant to support one of their General Partners. This is an exciting opportunity to join an early-stage venture firm known for backing some of the most prominent names in Silicon Valley. They operate as a lean team of 30 with 8 other EAs who act as trusted partners to their Executives. You will provide support to the General Partner by managing a busy inbox and drafting communications, proactively overseeing the calendar, coordinating travel, tracking notes in CRM, and interacting and serving as a resource with the Partner's portfolio companies. You will also do light personal support to coordinate appointments and help with events. Someone who is always thinking two steps ahead with extreme attention to detail and is service-oriented. Previous 5+ years of experience as an Executive Assistant is required. This is an in-office role based in San Francisco with required travel to their office on the Peninsula every other Monday. 140-160K DOE + fully paid benefits including for dependents, carry, 401k with matching, and lunch provided!

Responsibilities:
  • Manage the General Partner's calendar and handle a high volume of scheduling with internal and external partners including board coordination. Rearrange meetings and shift schedules as priorities change.
  • Manage and triage email inbox, including flagging emails, categorizing, and drafting responses on behalf of Partner.
  • Arrange travel and transportation including detailed trip itineraries.
  • Provide meeting prep and support to track action items, next steps, and follow-ups.
  • Prep Partner for speaking engagements.
  • Assist with task tracking, coordination, and driving follow-ups.
  • Categorize contacts and track relationships in CRM.
  • Interact and serve as a resource to portfolio companies.
  • Process expenses and other ad hoc tasks.
  • Handle a dynamic workload and make decisions (often with limited context).
  • Provide light personal support to the Partner to coordinate appointments and help with events.

Qualifications:
  • Previous 5+ years of experience as an Executive Assistant, plus if it's been in a startup, venture or hospitality.
  • Well organized, dedicated, reliable, and flexible.
  • Service-oriented. You take pride in the supporting role and providing a white glove experience.
  • A self-starter capable of multi-tasking and prioritizing.
  • Hyper-organized and extremely detail-oriented.
  • Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks.
  • Capable of working in a fluid environment with ever-changing priorities.
  • Someone who can take ownership and is proactive at getting things done.
  • Able to anticipate needs, forward thinker, and comfortable with ambiguity.
  • Tech savvy with tools such as Outlook, Airtable, Notion, Slack, and Asana.
