POSITION SUMMARY

San Francisco Ballet (SFB) seeks a Senior Development Events Manager to join the Events Team. Under the direction and supervision of the Director of Events, the Senior Development Events Manager will provide leadership and professional expertise in the planning and implementation of high-quality institutional events; will help to identify and facilitate discussion and decisions about issues affecting events; and will ensure that high standards and company-wide priorities are reflected in the planning and presentation of events. This position works with the individual giving team to identify opportunities to engage with special event attendees and foster a greater relationship with SF Ballet. The Senior Development Events Manager supports SF Ballet by delivering excellent support and services to donors, patrons, subscribers, and volunteers. This position plays a significant role in enhancing the relationships that SF Ballet builds with its donors and the community at large.

ESSENTIAL POSITION RESPONSIBILITIES

Lead Development Stewardship Events and Programs

Produces and executes stewardship events, including Legacy, Christensen Society, and Artistic Directors Council events; the Annual SF Ballet Soire; and occasional one-of-a-kind rehearsals, receptions, and/or virtual events.

Tasks include scheduling event spaces, drafting event scripts as needed, drafting invitations, taking RSVPs, creating event briefs and timelines, requesting and confirming participation of Artistic staff/dancers/Operations/Production, while also serving as primary liaison with vendors such as caterers and florists. This position will serve as the on-site event lead with assistance from both fellow Development staff and volunteers. Will coordinate volunteers for each event. Maintains event expense budget and thrives in finding new ways to create fresh and engaging experiences while staying within budget.

In coordination with the Director of Events, oversees annual donor domestic and international tour opportunities with the aid of our partnered travel agency and partners. Duties to include providing tour information to interested parties, providing requested information to partnered travel agency, collaborating with partnered organizations and/or venues to negotiate tour details.

Collaborate with Special Events

In coordination with the Senior Strategic Engagement Manager and Director of Events, coordinates the annual YPC (Young Patrons Circle) Gala, which includes overseeing event ticket orders, guest seating for the performance, and generating weekly financial reports.

In collaboration with the Events team, helps coordinate efforts around the Gala virtual auction. To include: providing solicitation and in-kind templates to the Auxiliary Gala Committee Chair(s), overseeing and encouraging solicitation efforts, and helping to manage acquired items and experiences.

Other duties as assigned.

Serve as Liaison for SF Ballet Auxiliary

Serve as liaison for SF Ballet Auxiliary, including booking meeting spaces on site, helping with A/V and hybrid services at on-site meetings, fielding queries from members, assisting with Ballet-related inquiries, and drafting/sending solicitation letters and communications. Additionally, in collaboration with Development Operations, manage the Auxiliary's annual giving and Tessitura accounts.

DAY-TO-DAY DUTIES

Events

Coordinates with Production, Operations, School, and Artistic to plan the full stewardship events calendar for the following fiscal year.

Coordinates with Individual Giving, Legacy, and Special Events teams on the planning and logistical management of cultivation and stewardship events.

Works within Tessitura to build and manage Elevated Events and Activities. Creates extractions and oversees invitation promotions in Tessitura.

Works with Marketing to create and update event and donor website pages. Contributes to marketing communication materials including eblasts, program books, and social media outlets.

Oversees delivery, cataloguing, and inventory of donated products used for events, such as wine, water, and snacks.

Works with Graphics to create event materials such as invitations, signage, event order forms, and menus.

Manages all incoming YPC Gala ticket orders by processing gifts and creating weekly purchase reports leading up to the event.

Attends and maintains responsibilities at events including check-in.

Assists and/or trains BRAVO volunteers with event tasks such as check-in. Also coordinates all volunteers for each assigned event.

Drafts invitations, email communication, event briefs, and timelines.

Coordinates with all vendors and participating departments for each event and serves as the primary liaison. This includes delivery of wine, coordinating sound equipment, space set up, rentals, catering, etc.

Organizes with Artistic and Operations to bring in Artistic guests to speak at and/or attend events.

Coordinates with Auxiliary members chairing events.

Auxiliary Liaison

Serves as main point of contact for Auxiliary and communications.

Manages scheduling of meeting spaces and guest speakers for monthly Auxiliary meetings.

Ensures that contact information is up to date and program names are listed correctly for printed materials.

Manages the entire portfolio of Auxiliary members (there are 60+ active members in total, a portion of whom are assigned to other gift officer portfolios).

In collaboration with Development Operations, uploads and updates all Auxiliary plans, which includes connecting each gift that applies to their membership level and ensuring membership levels are up to date and correct.

Shares applicable communications as needed.

POSITION QUALIFICATIONS

Education and Experience

3 years experience in a similar position.

2 years experience with Tessitura or similar CRM/database (preferred).

3 years fundraising background (preferred).

Professional/Technical Competencies

Produces complete and accurate work reports, spreadsheets, and correspondence, and printed materials to meet required deadlines. Strong attention to detail required.

Ability to communicate and collaborate creatively and effectively with all levels of staff, volunteer groups, donors, and external parties; both verbally and in writing in a manner that ensures clear and mutual understanding and respect.

The ability to build and meet long-range plans, and to anticipate problems before they arise.

Utilizes and maintains up-to-date knowledge of word processing, spreadsheet programs, and Development Department CRM/database, Tessitura.

Understanding of non-profit accounting, gift acceptance, and tax deduction standards.

Applies creativity and innovation to work processes.

Maintains documentation and files that meet department standards and are readily accessible and understandable by others.

Demonstrates sound project management skills, including the ability to organize and manage multiple projects to meet required deadlines.

Faces difficult situations with tenacity and supports staff and volunteers.

Negotiates favorable results financial and operational for the organization by using diplomacy and tact; feels comfortable solving problems and resolving issues as they arise.

Familiarity with Bay Area donors and vendors desired.

Strong commitment to IDEA.

Physical Demands

Extended work hours during in-season months (approximately December-May).

Weekend and evening hours as well as occasional holidays as needed to prepare for and attend various special events.

Position requires the ability to work and stand for extended periods of time during evenings at off-site events. Occasional lifting (40 lbs).
