Work Schedule: 8 Hr (8:00:00 AM - 5:00:00 PM)
Summary:
This position will provide administrative and program support for the daily operations of the Office of RUSH Mentoring Programs. This individual is also responsible for communicating and interacting with the Offices of Fund Accounting, Administration, marketing, and Philanthropy. Exemplifies the Rush mission, vision, and values and acts in accordance with Rush Medical Center and Rush University policies and procedures.
Responsibilities:
• Responsible for the planning and logistical support for all department events including room reservations, equipment set up, food, and invitations, as well as other details to support routine meetings, lectures, luncheons, and seminars.
• Supports the Director Mentoring Programs with the planning and execution of the Rush Mentoring Programs Annual Symposium including poster presentations, interactive program, organizing abstract and poster review and judging, award ceremony, logistics of rental place and reception.
• Develop and apply assessment tools to track experience data for the department's programs and events.
• Administers and processes surveys to gather outcome measures from program participation.
• Collects and maintains information on funding, publications, and subsequent achievements, of current and past mentees of all four mentoring programs.
• Provides technical support to Cohn fellowship awards, including the call for proposals and review. Assists with the development of web-based tools for the efficient review process.
• Assists the Director in developing a variety of communications and marketing materials for the mentoring programs by working with the Office of Marketing and Communications department, drafting marketing materials for both internal and external audiences to publicize the mentoring programs.
• Drafts and distributes monthly newsletters and annual brochures to communicate the accomplishments of the Office of Mentoring Programs.
• Maintains websites for all programs within the RUSH Mentoring Programs to ensure current and accurate information.
• Coordinating meetings as well as recording and distributing minutes for all advisory committees.
• Procures and tracks office supplies; prepares check requests for reimbursement. Maintains records and files for all areas of the office.
• Processes and maintains contracts for external consultants.
Required Job Qualifications:
• Bachelor's Degree required with a focus on communications, marketing, or business.
• 4 years of related work experience required.
• Technological savvy and experience working with web-based survey and assessment tools.
• Experience developing marketing and other communication materials is strongly preferred.
• Ability to work independently and exercise sound judgment.
• Excellent oral and written communication skills are required.
• A knowledge of internal (institutional) and external policies and procedures (federal as well as non-federal, e.g., foundations, industry, etc.) with special emphasis on the respective requirements is preferred.
• Strong organization, problem problem-solving skills are required.
• Ability to work in cooperative, interactive group setting required.
• An advanced working knowledge of MS Office, word processing, Excel, databases, Zoom\Webex\Teams, website maintenance, and Outlook is required.
